JOB PURPOSE

To deliver a range of routine logistics business support tasks, to ensure that staff are effectively supported.

KEY ACCOUNTABILITIES (not all-inclusive)

Under the overall supervision of the Head of Office and direct supervision of the Senior Logistics Associate, the Business Support Assistant - Logistics will be responsible for the following duties:

Operations Support

  • Provide support to logistics operations and activities, following WFP Logistics standard processes and facilitating directly or indirectly the effective delivery of food assistance to beneficiaries.
  • Effectively schedule and oversee the execution of work orders of the handling function of the warehouse; liaise with handling operators guide on work schedules and commodity movement needs.
  • Prepare, verify, and sign off commodity handling services documents, and maintain confidential and accurate records to ensure timely payments of handling providers in line with WFP SOPs.
  • Assist with receiving/dispatch commodities including transshipment (truck to truck) against official approved documentation (e.g. waybills and/or delivery notes) on LESS system.
  • Assist with physical count of commodities including the quality in compliance with the established standards.
  • Monitor condition of the warehouse and commodities and take appropriate actions, to support efficient warehouse space-planning and well-organized commodity storage following WFP warehouse standards.
  • Contribute to warehouse activities including maintaining warehouse documents, work-orders and plan internal and external stock movements.
  • Organize import and export permits and pertinent documentation for food commodities, letter to NAMBOARD and Malkerns research centre etc.
  • Create Manual Purchase Requisition for purchases done by Logistics Unit.
  • Facilitate petty cash vouchers for Logistics Unit.

    Commodity Tracking and Accounting

  • Capture stock movement records onto LESS system. Support daily warehouse closing reconciliation and accurate inventory checks in compliance with the warehouse management requirements.

Other Tasks

  • Backstop warehouse storekeepers during absence and perform roles including physical inventory analysis, capturing and posting.
  • Perform any other duties.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. Experience: Three or more years of experience in logistics and warehouse operations.

Language: Fluency in English and Siswati oral and written communication
