JOB PURPOSE

The UN World Food Programme (WFP) is the leading humanitarian organization saving lives and changing lives, delivering food assistance in emergencies and working with communities to improve nutrition and build resilience. WFP assists almost 100 million people in around 83 countries each year. WFP’s efforts focus on emergency assistance, relief and rehabilitation, development aid and special operations. Two-thirds of our work is in conflict-affected countries where people are three times more likely to be undernourished than those living in countries without conflict.

In emergencies, WFP is often first on the scene, providing food assistance to the victims of war, civil conflict, drought, floods, earthquakes, hurricanes, crop failures and natural disasters. When the emergency subsides, WFP helps communities rebuild shattered lives and livelihoods. We also work to strengthen the resilience of people and communities affected by protracted crises by applying a development lens in our humanitarian response.

WFP is governed by a 36-member Executive Board. It works closely with its two Rome-based sister organizations, the Food and Agriculture Organization of the United Nations and the International Fund for Agricultural Development. WFP partners with more than 1,000 national and international NGOs to provide food assistance and tackle the underlying causes of hunger.

KEY ACCOUNTABILITIES (not all-inclusive)

  1. Provide close supervision for daily activities carried out by RBC Helpers and by the Cleaning Services provider;
  2. Inspect the conditions of the premises, including daily patrolling, and suggest areas for improvement and coordinate action as necessary;
  3. Follow up on maintenance contracts and supervise contractors when conducting services in the premises and during technical inspections and monthly maintenance visits, such as but not limited to, maintenance of ACs, elevators, generators, plants, electrical and plumbing work;
  4. Prepare and verify cleaners’ monthly attendance sheet as well the preparation of the monthly consumables order of cleaning supplies against available stock and monthly needs;
  5. Maintain updated trackers and stocks of stationery supplies, cleaning supplies, OHI (Office Hygiene Items) and other consumables on site;
  6. Organize storage rooms, archives and hard files and act as a store keeper;
  7. Assist in the preparation of internal events in relation to specific seating arrangements in meeting rooms and common areas;
  8. Assist during refurbishment and renovation projects in the premises;
  9. Assist in identifying suppliers and obtain quotations from vendors/suppliers when necessary;
  10. Follow up on timely submission of invoices from suppliers;
  11. Ensure customer satisfaction through direct customer interaction;

STANDARD MINIMUM QUALIFICATIONS

Education: Bachelor degree in Business/Public Administration, Commerce, Management or any other related field. Experience: Minimum of 2 years of progressively responsible administrative experience is required at the national level. Experience in facilities management and/or building maintenance will be an asset. Knowledge & Skills:

  • Experience in the usage of computers and office software packages (MS Word, Excel, Powerpoint etc), experience in handling of web-based management systems and ERP systems, preferably PeopleSoft
  • Excellent organizational skills
  • Excellent interpersonal and communication sills
  • Team player and ability to work in a multicultural environment
  • Highly motivated and capable of working independently and meeting tight deadlines
