BACKGROUND AND PURPOSE OF THE ASSIGNMENT: The United Nations World Food Programme (WFP) is the leading humanitarian organization saving lives and changing lives, assisting 115.5 million people in 84 countries by delivering food assistance in emergencies and working with communities to improve nutrition and build resilience. Food and food-related assistance lie at the heart of the struggle to break the cycle of hunger and poverty. WFP operated in eastern Ukraine from 2014 to 2018, reaching more than one million people through cash, food vouchers or locally purchased food rations, while operating in both government- and non-government-controlled areas. WFP is currently engaged in a large-scale response to the ongoing humanitarian crisis in Ukraine. The current conflict is a main driver of hunger and food insecurity in the world. The United Nations estimate that 12 million people inside Ukraine will need relief and protection, while more than 4 million Ukrainian refugees may need protection and assistance in neighboring countries in the coming months. It is estimated that 1.3 million refugees and asylum-seekers arrived from Ukraine to neighboring countries as of 4 March; this number could grow to 1.5 million people. More than 50 percent have set to Poland, 13 percent in Hungary, 9 percent in Moldova and the rest in other European countries. Under the general supervision of the Head of Administration, Head of Fleet in coordination with Management Services Division, the Driver responsibilities ranging to provide efficient and safe transportation of authorized personnel and/or commodities and has a client-oriented approach, high sense of responsibility, courtesy, tact and the ability to work with people of different national and cultural backgrounds. The incumbent is responsible to abide by security policies, administrative instructions, plans and procedures of the UN Security Management System and WFP procedures. The post is located in Multiple Locations (Krakow/Poland, Rzeszow/Poland, Budapest/Hungary, Bucharest/Romania, Chiniseau/Moldova, Lviv/Ukraine, Bratislava/Slovakia) with frequent travel within the region. The duties required of the successful Candidate shall include but not be limited to the following:

ACCOUNTABILITIES/RESPONSIBILITIES:

  • Support the daily administrative functions including answering to facilities requests to contribute to the provision of safe and comfortable working environment.
  • Collate and process information including dissemination to support the production of standard documents and reports for the unit, to enable decision-making and the effective management of resources.
  • Act as Vendor Creation Focal Point, collect financial and legal data of WFP vendors and their registration onto WFP Platforms
  • Raise Micro Purchase Orders as needed, in line with Procurement Guidelines and Manuals
  • Raise Purchase Requests on behalf of requesting units, including purchase specifications and relevant technical details
  • Process WINGS transitions relevant to administration unit
  • Act as alternate focal point for Travel
  • Maintain an inventory of assets, PPEs and other items or equipment subject to office or staff use
  • Be a first point of contact for internal queries, to facilitate the provision of efficient and effective resolution of daily issues.
  • Provide inputs to routine methods and practices in own area of work, to support the continuous improvement of services provided.
  • Performs other related assignments as requested by supervisors

QUALIFICATIONS & EXPERIENCE REQUIRED: Education: Completion of secondary school education. Formal experience/training with SAP software is highly desirable. Experience: Four or more years of work experience in business administration, or relevant field. Knowledge & Skills:

  • Training and/or experience utilising computers, including word processing, spreadsheet and other WFP standard software packages and systems.
  • Advance knowledge and training in Microsoft Excel for stastics and reports is an advantage.

Languages: Must be proficient in oral and written English. Romanian OR Russian language is highly desirable.
