  • Completion of secondary school education. Completion of Bachelor’s Degree in Business Administration or other relevant field is preferred.
  • Four or more years of experience in general administrative work.
  • Fluency in both oral and written communication in English and Filipino.
  • Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
  • Knowledge of work routines and methods in order to complete processes under minimal supervision.
  • Uses tact and courtesy to give and receive information with a variety of individuals.
  • Ability to identify data discrepancies and rectify problems requiring attention.
  • Ability to offer guidance or basic on-the-job training to more junior staff.

ORGANIZATIONAL CONTEXT

The Business Support Assistant (Administration) will provide administrative support to team(s) and/or support a specific business stream for emergency operation, and will be directly reporting to the Head of Resource Management Unit. At this level, work is carried out under close supervision or immediately available assistance. Job holders are expected to produce organised and accurate work.

JOB PURPOSE

To deliver a range of routine business support tasks, to ensure that staff are effectively supported.

KEY ACCOUNTABILITIES/RESPONSIBILITIES (not all-inclusive, nor exhaustive):

Within the assigned unit and delegated authority, the Business Support Assistant (Administration) will be responsible for the following duties:

  1. Collect, sort, and disseminate information on the disposal and records of the asset, particularly assets for disposal.
  2. Support the maintenance of office files, documents, and records.
  3. Respond to routine queries received and escalate where appropriate to provide timely and accurate service to program staff.
  4. Provide a set of standard business support activities, where required, to contribute to the effective functioning of business operations.
  5. Make travel arrangements and support events to support staff to work effectively.
  6. Undertake standard data entry tasks by defined systems to ensure information is organized and readily available for the business team.
  7. Perform tasks on We Travel / WINGS processes and assist Cotabato staff in resolving related Travel issues.
  8. Perform tasks on sourcing Micro Purchase Orders/ SES/GRN and relevant WINGS and SharePoint processes and assist in resolving related purchase issues.
  9. Work with CO Admin on contracts management and vendor management.
  10. Perform other functions as may be assigned by the supervisor.

STANDARD MINIMUM QUALIFICATIONS

Education:

  • Completion of secondary school education. Completion of Bachelor’s Degree in Business Administration or other relevant field is preferred.

Experience:

  • Four or more years of experience in general administrative work.

Language:
