STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A university degree in Business Administration or any other related field.

Experience: Five or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.

Language: Fluency in both English and Arabic languages

Knowledge & Skills:

  • Good communication skills required to give and receive information and work with a variety of individuals.
  • Ability to monitor and record financial transactions.
  • Ability to carry out basic data analysis and presentation.
  • Ability to rectify problems requiring attention.
  • Excellent computer skills (Word, Excel, PowerPoint); experience in corporate ERP systems (e.g SAP) is highly desired.

ORGANIZATIONAL CONTEXT

These jobs are found in Country Offices (COs), Regional Bureaux (RBs), and Headquarters (HQ). Job holders may either perform administrative support functions in the front office and report to the Business Support Associate,or provide administrative support to team(s) with the reporting line to the relevant Head of Unit, Chief, or the designate. In cases where these positions support a specific business stream, the reporting line may be to the relevant Head of Unit, Chief, or the designate. At this level, work is carried out under minimal supervision. Job holders are expected to produce organised and accurate work, undertaking specific business support activities. They may offer guidance on standard practices to more junior staff in their area of work.

JOB PURPOSE

To deliver standard business support processes for Administration, Fleet and Protocol Management to facilitate effective service delivery.

KEY ACCOUNTABILITIES (not all-inclusive)

  • Fleet Management -Supervise the drivers & monitoring their performance; ensure proper use and monitoring of maintenance & the fuel consumption of vehicles for the best interest of the agency; Respond to official request for vehicles and allocate efficiently.
  • Act as the GPS tracking system focal point, and issue monthly driving performance report.
  • Create Material Requirement Planning & Micro Purchase Order for the Admin unit and supervise vendor accounts (Couriers- Uniform - stationary supplies- Admin tools...etc.)
  • Ensure all Admin. related commitments for goods and services are properly committed in related systems for invoice matching in relation to admin and invoice tracking systems; ensure proper recognition of expenses (According to policies) are posted on time; Monitor all admin related Purchase Requisitions/Purchase Orders/Trip in related systems regularly and close them on time.
  • Protocol focal person: prepare all letters in relation to protocol to be sent to Ministry of foreign affairs; liaise with key people in Governmental offices to ensure smooth transaction of all protocol related requests; ensure competitive services on clearing WFP imported items.

Additional Key Accountabilities

  • Contacting with the Telecommunication service provider company for handling the related matters; Activating, deactivating SIM cards for the employees; Upgrading, downgrading the Users packages according to the Standard Operating Procedures/approval; Reviewing the invoices and proceed for the payment request. calculating and managing the user's invoices and request to settle the personal VS business calls Via Telephone Management Systems on a monthly basis.
  • Act as UNJSP “Unitied Nations Joint Staff Pension” focal point, issue UNJSP Purchase Orders when needed and settle inter agencies invoices.
  • Acts as FMS “Fleet Management Systems” focal point, maintaining proper fleet records.
  • Responsible for finalizing fleet lease and insurance on monthly basis.

WFP offers a competitive compensation package for Service Contract Holders including:

TERMS AND CONDITIONS

This is a one-year contract, extension will be based on funding availability and successful performance.
