Duties and Responsibilities The United Nations Environment Programme (UNEP) is the leading global environmental authority that sets the global environmental agenda, promotes the coherent implementation of the environmental dimension of sustainable development within the United Nations system and serves as an authoritative advocate for the global environment. The Minamata Convention on Mercury is a global treaty to protect human health and the environment from the adverse effects of mercury. The Secretariat functions of the Convention are performed by the UNEP, through the office stationed in Geneva and supervised by the Executive Secretary.

The Conference of the Parties, at its fourth meeting in 2021 and 2022, adopted the programme of work and budget for 2022-2023. The programme of work includes a number of scientific and technological activities that involve the organization of expert group meetings, communication with experts in broad scientific and technical areas and management of scientific and technical information.

The Secretariat of the Minamata Convention has the need of the services of this individual contractor to support these activities to prepare for the fifth meeting of the Conference of the Parties, to be held in October/November 2023.

Under the supervision of the Senior Programme Management Officer, the individual contractor will perform the following tasks:

A. Support to the meetings of intersessional expert groups

Provide logistic support the convening of the following meetings: - Group of Technical Experts on Mercury Waste Thresholds, which will meet from 16 to 18 February 2023 - Open-Ended Scientific Group, which will meet from 27 to 31 March 2022 including but not limited to the following: - Arranging the air travel of the sponsored participants. - Arranging the disbursement of daily subsistence allowance. - Arranging the coffee/tea breaks for the meeting. - Supporting the setup of meeting rooms at the International Environment House, including name plates, audiovisual system and remote connection - Managing the information on participants and preparing the list of participants - Communicating with the participants and service providers.

B. Support to online meetings

Provide logistic support to online meetings, including the meetings of expert groups and “Minamata Online”, including but not limited to the following: - Setting up WebEx or other online platforms - Sending out the meeting link and responding to queries - Participating in the meeting as host, checking the connection monitoring chatbox and supporting the participants - Handling the recordings and other reports.

C. Support to the programme management

Provide clerical support to the Science and Technology Workstream of the Secretariat, including but not limited to the following: - Maintaining and updating the list of experts and other contacts, including the roster of experts nominated by Parties and other organizations - Sending out group emails and responding to practical queries - Maintaining and updating the electronic files in the Secretariat’s sharepoint folders and cloud storage - Editing and formatting electronic documents, including creating graphs and collecting visual materials.

Qualifications/special skills An advanced university degree in project management, public administration, business administration, sustainable development, environmental protection or related fields is required. A minimum of two years of experience in programme / administrative services, e.g., secretariat clerical, finance, programme assistance is required. Experience within the UN System or other international organizations, in particular in a secretariat of a multilateral environmental agreement, is an asset. Experience in providing UN meeting support services is desirable. Fully proficient computer skills, use of web-based platforms and relevant software e.g. word processing, PowerPoint, Excel, internal databases, Internet, online meeting platforms, etc.

Languages Fluency in oral and written English is required. Knowledge of other official United Nations languages is an advantage.
