How can you make a difference?

Key functions, accountabilities, and related duties/tasks

Support to Operations Senior Management

  • Follows up on a wide range of issues with Operations sections (Administration; Supply and Logistics; ICT4D; Human Resources; Finance and Internal Control).
  • Prepares and maintains records, documents pertaining to Operations management.
  • Follows up with Operations sections on BOS Working Groups activities.
  • Performs all related administrative tasks for the Deputy Representative Operations – Meetings management; Travel arrangements (e.g. TA; Security clearance and certification); etc.
  • Plays an active part in organizing events.
  • Coordinates field missions and other tasks where inputs are needed from different ends.
  • Consolidates Annual workplans and Leave management for Operations.
  • Helps ensure compliance with agreed timelines.
  • Takes minutes of meetings, ensuring accuracy, attention to detail and coherence.
  • Acts as focal point in the review of the completeness of some reports.
  • Liaises with Operations colleagues on the field in a systematic manner, coordinating several tasks (e.g. Sets up meetings in coordination with them).
  • Provides support on Contract Review Committee and other statutory committees.
  • ERM: Ensures that the Deputy Representative Operations SharePoint page is updated and properly managed.

Support to Operations sections

  • Provides specific sporadic support to any Operations section after consultation with the Supervisor. For example, S/He will be for example involved in:
    • Finance: Budget management.
    • Administration: Contract management (Lease Agreements; MoU; etc.); Events management; Logistics; Support in management of administrative supplies, office equipment, and updating inventory of items; Support in Guesthouse management; etc.
    • Internal Control: Support of Table of Authority revision; Delegation of Authority Forms; SOP; etc.

Other

  • Participates actively in various projects, taskforces and secondary committees.
  • Undertakes basic research and performs comparative analysis of project related data.
  • Manages incoming and outgoing correspondence, e-mails and telephone calls.

To qualify as an advocate for every child you will have…

  • Completion of secondary education is required, preferably supplemented by technical or university courses related to the field of work.
  • A minimum of six years of relevant administrative or clerical work experience is required.
  • Developing country work experience and/or familiarity with emergency is considered an asset.
  • Fluency in English is required. Knowledge of another official UN language (Arabic, Chinese, French, Russian or Spanish) or a local language is an asset.

Skills

  • Training and experience using MS Word, Excel, PowerPoint and other UNICEF software such as SharePoint; knowledge of integrated management information systems required.
  • In-depth knowledge of UNICEF organizational structure, administrative policies and procedures.
  • Organizational, planning and prioritizing skills and abilities.
  • Ability to deal patiently and tactfully with visitors.
  • High sense of confidentiality, initiative and good judgment.
  • Ability to work effectively with people of different national and cultural background.
  • Ability to work in a team environment to achieve common goals and to provide guidance to more junior support staff.
