How can you make a difference?

The role of this post is to provide administrative/inventory asset management support services to the concerned sections and zonal offices respectively.

The post prioritizes tasks and organizes work independently based on general direction from the supervisor.

Summary of key functions/accountabilities:

Within the delegated authority and the given organizational set-up, the incumbent may be accountable for all or assigned areas of the following major duties and end results.

  • Registering/entering new items along with details and recording them in the inventory database.
  • Maintaining the asset inventory database of ACO in Excel and SharePoint.
  • Maintain complete filing records of all exit clearance documents, ensuring checklists were available for easy reference and retrieval.
  • Establish and maintain status reports on all low-value assets in the office and guest houses and track the status of each item.
  • Recording the received items by office/guest and staff houses released from Logistics/warehouse in the databases.
  • Reviewing the release order for purchased items from the logistics section for the houses and office rooms.
  • Release the required items to staff members responsible for the houses and offices including zone offices.
  • Consolidate the list of obsolete and surplus office and guest house items for PSB on a quarterly basis.
  • Act as alternative PSB Submitter for the PSB cases
  • Recording, updating, and reconciling PSB items in the Inventory Databases.
  • Generating the report on the status of property and equipment and Attractive assets o
  • Support with physical count and verification of office assets on a yearly basis.
  • Listing out assets that will be signed and received by custodians inside the office and in the accommodations.
  • List out released items from the stores that need to be supplied back as the store balance should be maintained.
  • Work closely with zone offices in maintaining accurate records of all assets at every office location
  • Any other task that is assigned by the respective supervisor.

To qualify as an advocate for every child you will have…

  • Completion of secondary school education. High school diploma, business courses, or other relevant disciplines.
  • A minimum of three years of general clerical/administrative work.
  • Computer literacy and the ability to effectively use standard office software tools and other office technology to create documentation, exchange and archive e-mail, and maintain electronic filing systems
  • Five years of office support work experience, including, organizing and supervising the whole range of office support and administrative activities like facilities management. Ability to work with a minimum of supervision. Ability to extract and format data and solve operational problems. Ability to organize own and others' work, set priorities and meet deadlines. Ability to organize meetings and events. Ability to handle work quickly and accurately under time constraints
  • Fluency in English is required as the local language of the duty station.
