The International Potato Center (CIP), on behalf of CIMMYT, is seeking one (1) Administrative Assistant II to support operational activities at the Office in Lichinga.

CIMMYT has established a hosting agreement with CIP for a project in Mozambique, leveraging CIP’s legal and operational framework to facilitate administrative services.

About the position:

The Administrative Assistant will ensure the smooth operation of CIMMYT by providing a wide range of administrative and general support duties of a highly responsible and confidential nature to guarantee smooth flow of the office.

The selected candidate will be based in Lichinga, Mozambique, and will report to the Project Finance & Administrative Manager at CIMMYT.

Key responsibilities:

· Collect data to guarantee the information in the database is complete.

· Support on administrative activities to guarantee an effective execution of the business unit’s needs.

· Support the development of policies, documents and manuals of the business unit.

· Comply with national and international health and safety laws, regulations and standards.

· Analyze the data collected using different programs to contribute accurate information.

· Handle daily office operations, producing photocopying, scanning and filing documents.

· Organize and schedule appointments, plan meetings and take minutes.

· Prepare, manage and file organizational documents including reports, agreements and all correspondence.

· Monitor office supplies, prepare requisition forms and follow up timely procurement.

· Assist in organizing meetings, workshops and events.

· Act as a liaison between the Project Administrator and Finance, Project Manager and other stakeholders by transmitting directives, instructions and assignments.

· Bachelor’s degree in Business Administration, Management or related field

· Three to five years of experience required in similar position in a non for profit organization.

· Intermediate Level of MS Office

· Effective verbal communication for interacting with stakeholders.

· Fluent in Portuguese.

· Intermediate Level in English
