The purpose for the job:

Under the guidance and supervision of the Operations Officer, the Administrative Assistant ensures the execution of transparent and efficient procurement services and processes in the CO, supports the implementation of operational and administrative activities, and works in close collaboration with all staff in the office to resolve complex procurement-related issues and information exchange.

The Administrative Assistant is accountable for the coordination of transport and cleaning services in the office, he/she supports the implementation of the sourcing strategy, operations efficiency, and asset control.

How can you make a difference?

We are looking for a dynamic and innovative Administrative Assistant to support UNICEF’s El Salvador office in the key functions/ accountabilities described below:

1. Support in the Implementation of operational efficiency

  • Support in the implementation of the Operations efficiency by communicating both internally within the CO, LACRO and HQ , in order to ensure business processes in accordance with guidelines and procedures in the designated areas.
  • Provide administrative support in the TOA update and the roles assignation in collaboration with the Operations Officer.
  • Provide clerical and transactional support to the areas of Operations, Human Resources, ICT, and Finance.

2. Coordination of Administrative Services

  • Coordinate transportation services to schedule the use of vehicles, review reports on use of petrol, mileage, and maintenance services, supervises drivers, and also drivers' overtime records.
  • Coordinate office cleaning and maintenance services and supervises outsourcing cleaning personnel.
  • Administration of cleaning and maintenance supplies.

3. Support in the implementation of sourcing strategy

  • Support the office in supply activities: including but not limited to sourcing, quotations, reports, identification of cost efficiencies, and logistic services.
  • Keeps updated records of procurement and contracting processes, according to rules and regulations of UNICEF.

4. Control and reporting of CO Assets

  • Ensures proper control of CO Assets
  • Preparation of inventory reports.
  • Implementation of Inventory and physical verification control

Education:

Secondary Education with specialized training in administration. University Degree in Business or Public Administration is an asset, but it is not a requirement.

Experience:

At least 5 years of relevant administrative experience is required. Experience in the usage of computers and office software packages (MS Word, Excel, PowerPoint, etc.), advanced knowledge of automated procurement systems, and experience in handling web-based management systems.

Language requirements:

Fluency in Spanish and English is required. Knowledge of another official UN language (Arabic, Chinese, French, or Russian) is an asset.
