Org. Setting and Reporting These positions are located in the Executive Office of the Office of Internal Oversight Services (OIOS) in New York. The Administrative Assistants will report to the Administrative Officer of the Unit.

The Office of Internal Oversight Services is an independent office reporting to the Secretary-General and to the General Assembly.

Responsibilities The Administrative Assistants will be responsible for the following duties:

HUMAN RESOURCES MANAGEMENT

•Initiate, review, process and follow up on actions related to the administration of human resource activities in OIOS, ensuring consistency in the application of United Nations rules and procedures •Carry out all human resources administrative transactions in Umoja, including preparation of personnel actions, processing of contracts, and separation of staff members •Participate in the recruitment of vacant positions, including initiating and posting job openings, evaluating and screening applications, and initiating and monitoring reference verification in Inspira, as well as ensuring the completion of pre-recruitment formalities inside and outside of Inspira •Respond to enquiries and provide information and advice to staff, liaising with counterparts in other offices, as necessary, regarding entitlements, including travel (HR and entitlements travel), administrative procedures, processes and practices, and conditions of service •Provide for the administration and management of consultants/individual contractors

BUDGET AND FINANCE

•Assist in the preparation and review of administrative and human resource proposals/requirements •Prepare or customize statistical data and reports from Umoja •Review staffing tables and facilitate Organizational Management in Umoja •Coordinate with other finance and budget staff on related issues during preparation of budget reports

GENERAL ADMINISTRATION

•Create and maintain Official Status Files of staff members •Research and prepare written replies to respond to queries related to relevant administrative and HR-related issues •Coordinate extensively within OIOS Divisions, other service units and liaise frequently with internal team members both at Headquarters and in the field •Perform other related administrative duties, as required (e.g., related to operational travel)

•CLIENT ORIENTATION: Considers all those to whom services are provided to be “clients” and seeks to see things from clients’ point of view; establishes and maintains productive partnerships with clients by gaining their trust and respect; identifies clients’ needs and matches them to appropriate solutions; monitors ongoing developments inside and outside the clients’ environment to keep informed and anticipate problems; keeps clients informed of progress or setbacks in projects; meets timeline for delivery of products or services to client.

Education High school diploma or equivalent. Must have passed the United Nations Administrative Support Assessment Test (ASAT) at Headquarters or an equivalent locally-administered test at Offices Away from Headquarters.

Work Experience A minimum of seven years of progressively responsible experience in administrative services, human resources management, finance, or related area is required. Experience processing entitlements using an Enterprise Resource Planning (ERP) system, such as Umoja or equivalent, is required. Experience with recruitment and onboarding HR platforms, such as Inspira or equivalent, is desirable. Experience in an international organization is desirable

Languages Fluency in oral and written English is required. Knowledge of another official language of the United Nations is desirable.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice This post is financed by the regular budget. The appointment, or assignment, and renewal thereof are subject to the availability of the post or funds, budgetary approval, or extension of the mandate.

Appointment or assignment against this position is for an initial period of one year.

This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Having passed the Administrative Support Assessment Test in English at the United Nations headquarters, Economic Commission for Africa, Economic and Social Commission for Western Asia, United Nations Office at Geneva, United Nations Office at Vienna, International criminal tribunal for Rwanda or International Criminal Tribunal for the former Yugoslavia may be accepted in lieu of the GGST.
