Org. Setting and Reporting

This position is in the Field Administrative Office Section of the United Nations Mission in South Sudan (UNMISS), Torit field office, under the Field Administrative Officer's (FAO) supervision.

Responsibilities

With delegated authority, the Administrative Assistant will be responsible for the following duties: (These duties are generic and may not be carried out by all Administrative Assistants.)

Human Resources Management • Enters and maintains monitors and records for time and attendance, etc., in electronic information systems. • Monitor and prepare the UNV attendance reports. • Provide advice and guidance to staff with respect to administrative procedures, processes, and practices, liaising with Juba administrative services as necessary. • Maintain staff list and provide to the DSS. • Prepare memo of ICs and vendors' entry to camp for the approval of FAO.

Budget and Finance • Consolidates data received and provides support to FAO with respect to accommodation receipts. • Prepares statistical tables and standard financial reports for welfare accounts. • Act as custodian of accommodation receipts and submit the collection to the finance office in Juba. • Coordinate with KCB regarding salary payment for international staff in the field office. • Act as seller transport coupon for the national staff

General Administration • Prepares, processes, and follows up on administrative arrangements and forms related to the official travel of staff. • Drafts routine correspondence. • Maintains files of rules, regulations, administrative instructions, and other related documentation. • Maintains up-to-date work unit files (both paper and electronic). • Coordinates extensively with service units and frequently liaises with internal team members at Headquarters and in the field. • Performs other related administrative duties, as required, e.g. raising EWR accommodation maintenance. • Keep a proper record of all the accommodation equipment in the store. • Monitor and control equipment issued in various rooms.

Work Experience

A minimum of five (5) years of experience in administrative services, finance, accounting, audit, human resources, or related areas is required. The minimum year of relevant experience is reduced to three (3) for candidates with a first-level university degree or higher.

Experience working at a UN field mission or UN Agencies in this capacity is desirable

Languages

English and French are the working languages of the United Nations Secretariat. For the position (s) advertised, fluency in English is required. Knowledge of other local languages is desirable.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice

This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules.
