ABOUT THE JOB

The Administration Officer reporting to the Human Resources and Administration Managers works for DRC operation and will ensure the existence of an effective and efficient support services in areas of administration. The Admin Officer will play a key role into liaising day to day activities of the Administration unit and will closely monitor the ongoing activities and follow up on pending issues.

Facilities Office management

  • Ensure all office infrastructures are appropriate and functioning;
  • Oversee and monitor aspects of office maintenance and cleanliness;
  • Maintain lease agreements and coordinate the renewal of leases for office premises,
  • Guesthouse and expatriate housing in consultation with the HR/Administration Manager, act as the
  • focal point for liaison with landlords;
  • Coordinate handover of leased properties and ensure security deposits are refunded on timely basis;
  • Closely monitor repairs and maintenance of facilities in compliance with DRC standards and
  • procedures;
  • Liaise and coordinate day to day functions of the administration team to ensure overall efficiency.

Guesthouse management:

  • Management of the guesthouse ensuring all infrastructures are safe and functioning;
  • Oversee all aspects of upkeep and cleanliness at the guesthouse;
  • Ensure guesthouse stocks and supplies are in place, and monitor their utilization;
  • Act as focal point for guesthouse, liaise with property landlords on any matters arising;
  • Ensuring routine maintenance checks are applied on Guest house, offices, wash rooms, kitchens and it works properly;
  • Supervising the work of Guest House Assistant and ensuring DRC/DDG Guest houses are well equipped with required furniture, laundry services plus maintenance are given when needed
  • Ensuring office cleaners are working properly and that office environment is neat, clean and looking professional.

Administrative support

  • Ensure all utility payments are done on timely basis;
  • Act as backup to the Travel Officer;
  • Ensuring office having sufficient amount of office supplies, stationary and maintaining record of the office supplies on daily basis

Supervisor Responsibilities:

  • Coordinates the daily activities of small teams, often comprised of subordinates and/or employees carrying out similar tasks
  • Does not have direct line management responsibility for staff, but may contribute to recruitment and/or performance appraisal of members of the team
  • Implements the manager’s decisions through the work of subordinate employees, often playing a role in deciding how to do it; and how to achieve the objective set by the manager.
  • Any other duties as requested by the line Manager within the scope of the Administration.

ABOUT YOU

To be successful in this role you must have:

Experience and technical competencies:

  • Minimum 3 years’ relevant experience within a humanitarian organization.
  • Good communications skills; Good written and spoken English;
  • Solid computer skills (Word, Excel, PowerPoint) and report writing ability

Education/qualifications:

  • Bachelor’s Degree (preferably in Business Administration, Economics or any other relevant field)

Languages:

  • English (Written and Spoken) – Fluent
  • Dari / Pasto (Written and Spoken) – Fluent
