JOB PURPOSE
The selected candidate will be assisting the WFP Admin Unit with different aspects mentioned in the key accountabilities during the coming 6 months.
KEY ACCOUNTABILITIES (not all-inclusive)
- Analyse the key requirements of the admin unit and come up with ideas for preparation/enhancement of training packages and presentations for different audiences on Administration key areas of work including Travel and Protocol, Fleet Management, Accommodation, Facilities Management, etc.
- Registration of incoming/outgoing correspondents
- Assist in maintenance of Admin stock;
- Registration of office consumables;
- Support the development of annual plans and implementation of policies, systems and procedures to support WFP strategic objectives
- Support management of existing resources in the area of responsibility (e.g. WFP managed facilities, assets and travel management, etc.) and assist in identification of new requirements aiming at efficiency, cost-effectiveness and timeliness of operations and services.
KEY ACCOUNTABILITIES CONT'D
- Support a culture of environmental sustainability throughout WFP by role modelling actions that drive sustainability in all administrative activities.
- Follow standard emergency preparedness practices to ensure WFP is able to quickly respond and deploy food and needed resources to affected areas at the onset of the crisis.
- Collate data and prepare data analysis to provide management and clients with the accurate information and reports for efficient planning and decision-making.
- Preparing the meeting minutes of Admin/Finance unit weekly meetings
- Perform other related tasks as may be reasonably required of the position
STANDARD MINIMUM QUALIFICATIONS
- Currently enrolled and have attended University courses in the last 12 months inclusive of having completed at least two years of undergraduate studies or have recently graduated in the last 6 months’ in Administration, Business Administration or any related field
- Proficiency in MS Office (Word, Excel, Power Point);
- Required fluency (level C) in oral and written English;
- Required fluency (level C) in oral and written Tajik or Russian; fluency in both is an advantage;
EDUCATION

- Currently enrolled in an undergraduate/graduate programme from a recognised university, have completed at least two years of the programme and attended classes in the past 12 months; OR
- Recently graduated from an undergraduate/graduate programme (within six months prior to the application to the internship programme) from a recognised university and have attended classes in the last 12 months of enrolment in the university.
- Undertaken courses or have some working knowledge of statistics and related computer programmes.
DELIVERABLES AT THE END OF THE CONTRACT:
Successful completion of all the tasks assigned to the intern by the supervisor over the course of the internship.
KNOWLEDGE & SKILLS
Capacity to learn fast from documentation and experience.
Good oral and written communication skills.
Good ability to work with a computer/laptop running the Microsoft Windows operating system, to work in Microsoft Word and Microsoft Excel, and to learn other Windows-based applications such as Microsoft Teams, Microsoft Outlook, etc.
TERMS AND CONDITIONS
- The duration of the internship is minimum 6 months with possible extension up to 8 months;
- WFP is not responsible for living expenses, arrangements for accommodation, necessary visas and related costs.
- Depending on the duty station of assignment, WFP will reimburse travel ticket for candidates who are nationals of developing countries and are pursuing their studies in their home country.
- WFP will recognize candidates’ educational credentials from recognised institutions that have been certified by competent international or national authorities such as the United Nations Educational, Scientific and Cultural Organization (UNESCO) or Ministries of Education;
