The vehicle leasing & insurance service is complemented by world-class expertise and technical assistance in fleet management (including for armoured vehicles), fleet systems support, vehicle disposal, and road safety & fleet management training. In addition, having one of the largest humanitarian light vehicle fleets, WFP is also spearheading, through Fleet Centre, international collaboration efforts within the wider UN System to facilitate sister agency access to more effective and safer vehicles and to realize efficiency gains.

ORGANIZATIONAL CONTEXT

At this level job holders are expected to take responsibility for the completion of a range of processes and activities requiring some interpretation of standard guidelines/practices. Job holders are able to recommend a course of action to staff at various levels and may allocate tasks to other support staff.

JOB PURPOSE

To support effective delivery and maintenance of client-focused, value-for-money oriented quality administrative practices.

JOB TITLE: Administration Assistant

TYPE OF CONTRACT/LEVEL: Service Contract (SC) 5

SALARY****: Starting from AED 13,216.26 per month (inclusive of pension), plus medical insurance and other entitlements.

UNIT/DIVISION: Management Services Fleet Center (MSDF)

DUTY STATION (City, Country): Dubai, UAE

DURATION: 12 Months with a possibility of extension

The role reports to the Head of Customer Service & Funds Management. The incumbent, based in Dubai-UAE, will be responsible for following duties:

KEY ACCOUNTABILITIES (not all-inclusive)

1. Act as the focal point for Asset Management in Fleet Centre; conduct monthly asset reconciliations, produce reports, and conduct periodical physical reconciliation exercise in line with corporate guidelines. 2. Ensure proper running of office and the facilities, including supervision of cleaners; act as liaison with International Humanitatrian City (IHC) and Dubai Office Support Service. 3. Perform administrative procurement activities in a timely and efficient manner, to support Professional staff in the acquisition of goods and services for efficient operations. 4. Manage and maintain paper and electronic records within the area of responsibility in accordance with established procedures, to ensure swift and easy data access as required. 5. Provide back-up support to Customer Service Team in processing standard orders. 6. Collate and process information including dissemination to support the production of standard documents and reports for the unit, to enable decision-making and the effective management of resources. 7. Provide inputs to routine methods and practices in own area of work, to support the continuous improvement of services provided. 8. Other duties as assigned by the Supervisor.

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of higher secondary school education. A post-secondary certificate in the related functional area is desirable.

Experience & Skills: • At least four (4) years of experience in the area of administration or support services. • Computer skills (Word, Excel, PowerPoint). • Tact and courtesy to give and receive information with a variety of individuals. • Previous experience in asset management desirable. • Familiarity with procurement processes desirable. • Previous experience in corporate ERP systems desirable.

Language: Excellent oral and written English communication skills required.
