You have:

  • At least 3 years of experience in finance, accounting, budgeting and administration work.
  • Proficiency in MS Office applications (Excel, Word, etc.).
  • Experience in organizing conferences, workshops, and training events.

Contract

This is a UNV National Specialist contract. This kind of contract is known as National UN Volunteer. It is normally only for nationals. More about UNV National Specialist contracts.

The project aims to support actions to improve Improvement of the economic situation of the population, especially of women in the fisheries sector of Aden and contribute to quantitative and qualitative improvement of the food situation of the population.

Provide Financial Management: -Support the compliance with UN/UNDP rules, regulations, and policies of financial activities, financial recording/reporting system and follow-up on audit recommendations; implementation of effective internal controls, proper functioning of a client-oriented financial resources management system. - Support ensuring the control of supporting documents for payments, prepare document for vendors in Quantum; assistance in managing the project management and payments. - Support maintaining the internal expenditure control system, which ensures that vouchers processed are matched and completed, transactions are correctly recorded and posted in Atlas and that travel claims and other entitlements are duly processed. Maintain complete set of books of account according to the principle of accounting and update it on a daily basis. Ensure accuracy of supporting documents and timely corrective actions on un-posted vouchers, including vouchers with budget check errors. - Support motoring budget implementation and determine / recommend reallocation of funds when and where necessary. - Support following up on activities, monitor advances balances and verify availability of funds for project activities and verification and accuracy of financial Reports and preparation of monthly shadow budget for tracking the delivery of project. - Support projects audit exercise and support preparing necessary documents, audit follow-up action plans, and action implementation. - Provide support in preparing annual and quarterly work plans, multi-Year Budgets and budget revisions in consultation with CTA/Project Management Specialist; in addition to preparing timely and accurate Quarterly Expenditure Reports to be attached to Progress Reports in QUANTUM - Undertake physical verification of all assets and update records. - Maintain accurate financial and personnel records of the project as required. - Support management of all correspondence related to finance matters. Provides administrative, travel and logistical support: - Support maintaining files related to personnel, finance, procurement, administrative, logistical, project matters. - Support management of procurement processes, including but not limited to drawing up specifications for the equipment as per project requirements; maintain and update an inventory and ensure proper operation, maintenance.

Provide administrative support to organization of conferences, workshops, and trainings. - Support arrangement of travel and hotel reservations, preparation of travel authorizations. - Support preparation of the routine correspondence related to general administration, procurement, security and personnel matters, faxes, memoranda and reports in accordance with UNDP rules and procedures. - Management of project documentation. - Support reviews of financial reports and any supporting documents submitted by responsible parties of the UNDP component. - Manage document/ filing control procedures (both hard copy and electronic filing) for all reports, project narrative and financial documents, knowledge products. - Compile, copy and file all project reports. - Perform other duties related to personnel, administrative and financial issues of project as required.

- Experience in the usage of computers and office software packages (MS Word, Excel, etc) - Experience in organizing events (including retreats, trainings, meetings, workshops, etc - Excellent experience in communication, negotiation, and problem-solving skills - Excellent oral and written skills; excellent drafting, formulation, reporting skills. - Experience in finance, accounting, budgeting and admin works. - Accuracy and professionalism in document production and editing. - Excellent interpersonal skills; culturally and socially sensitive; ability to work inclusively and collaboratively with a range of partners, including grassroots community members, religious and youth organizations, and authorities at different levels; familiarity with tools and approaches of communications for development. - Ability to work and adapt professionally and effectively in a challenging environment; ability to work effectively in a multicultural team of international and national personnel. - Solid overall computer literacy, including proficiency in various Microsoft Office applications (Excel, Word, among others), email, and internet; familiarity with database management; and office technology equipment. - Self-motivated, ability to work with minimum supervision; ability to work with tight deadlines. -Sound security awareness. -Have affinity with or interest in UNDP volunteerism as a mechanism for durable development, and the UN system.
