Organizational Setting

The main aim of the FAO country offices, which are headed by an FAO Representative, is to assist governments to develop policies, programmes and projects to achieve food security and to reduce hunger and malnutrition, to help develop the agricultural, fisheries and forestry sectors, and to use their environmental and natural resources in a sustainable manner.

Reporting Lines

The -Admin Assistant will work under the overall technical guidance of the Human Resources Division, liaising with the Regional HR Officer; and the direct supervision of the National Professional Officer (Administration), working in close collaboration with FAO Jordan staff.

Technical Focus

The Admin Assistant will provide support in human resources matters related to the recruitment of consultants and administrative tasks. He /she ensures quality, transparency and consistency of data and processes within his/her area of responsibility and contributes to the smooth functioning of office support services.

Tasks and responsibilities

  • Perform all travel related actions, ensure hotel bookings, airport drop off, pick up, etc.
  • Support in NSHR recruitment process, including, preparation of VA, longlisting/shortlisting, organization of the interviews, preparation of selection reports, selection and recruitment.
  • Coordinate the daily vehicle optimum usage, and maintain vehicle movement, maintenance, and fuel Consumption logs.
  • Maintain the work unit’s filing systems (online & offline).
  • Perform other duties as required.

CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements

  • Education: Secondary School Education
  • Experience: 2 years of relevant experience in administrative and/ or human resources support work.
  • Languages: Working knowledge (level C) of the FAO official language used for communication within the country English and working knowledge of the local language of Arabic is required.
  • IT Skills: Good knowledge of the MS Office applications, Internet and office technology equipment.
  • National of Jordan.

  • Good knowledge of relevant human resources policies and procedures
  • Good knowledge of corporate computerized administrative systems

  • Previous working experience with UN and/or international cooperation will be an asset;
  • Strong communication skills, networking and teamwork is required;
  • Computer skills in Office Applications including Excel, Word, Outlook, Power Point necessary;
  • Candidate must have the ability to work harmoniously with people of different national and cultural backgrounds.

Selection Criteria

  • Previous working experience with UN and/or international organizations will be an asset.
  • Knowledge of FAO's Administrative policies and procedures will be an asset.
  • The incumbent must possess a cooperative spirit, flexibility and openness to work in an international environment within a team of staff with mixed skills and different national and cultural backgrounds. Tact, courtesy and cultural empathy are essential personal attributes.
  • As the incumbent has access to confidential and sensitive information, a high level of trustworthiness is needed.
