The positions are located within the Health Technology Centre (HTC) in Supply Division. Through applied technical, contractual and operational expertise, HTC supports UNICEF country programmes and procurement services partners. To respond to the increased demand from countries and partners seeking oxygen therapy solutions for the COVID-19 Outbreak response, the HTC has established a specialized team for the procurement of oxygen therapy supplies and solutions.

The positions are in the Medical Unit in Health Technology Centre reporting to the Contract Officer in the oxygen therapy team.

How Can You Make a Difference?

The Procurement Associates undertakes all procurement activities in accordance with the UNICEF Rules and Regulations, with a specific focus on tendering and expediting activities as well as monitoring and reporting on supplier performance and servicing Country office and partner requests for a segment of products.

The Procurement Associates will be responsible for assistance for a segment of products in Health Technology Centre with focus on oxygen therapy supplies and solutions; providing effective services to customers, ensuring accurate and timely processing of Requisitions and requests up to the completion and closure of the order, with the overall goal of meeting the needs and requirements of the customers.

Under the supervision of a Contracts Officer, the incumbents perform all procurement activities in compliance with the UNICEF Financial Rules and Regulations, Supply Division Manual and other applicable procurement procedures including:

  1. Assist in preparation of comprehensive forecast exercise to secure a sustained and uninterrupted supply.
  2. Reviews and evaluates incoming supply requisitions and requests to ensure quality and adequacy of information, specifications, appropriateness of requests, quantities, shipment, delivery dates, budgets. Prepare and draft price and cost estimates for PS transaction including freight.
  3. Reviews material specifications and requirements with customers, countries, the Technical counterparts and Quality Assurance Centre to ensure completeness and appropriateness. Ensures that customers’ claims/complaints are processed in collaboration with Shipping and Quality Assurance Centre.
  4. Monitor and follows up on progress of sales orders to ensure that commitments entered into are met.
  5. Monitors warehouse stock levels and in consultation with WIMC issues replenishment orders.
  6. Drafts and prepares international tender invitations. Assists with preparation of CRC submittals. Drafts and prepares Purchase Orders. Assists with and prepares Long Term Agreements and Direct Order Arrangements.
  7. Monitors the status of Country Office programme and procurement service orders and center specific KPIs. Pro-actively follows up on placed orders and deliveries with all parties concerned in order to ensure timely and safe delivery of goods. Transmits all relevant information to customer including changes to planned deliveries, to facilitate delivery and customs clearance of shipments. Prepares and provides timely and regular status / monitoring reports to customers.
  8. Assists in preparation and analysis of all information materials including Country and or customer specific reports, updating of databases and management systems for use by HQ, Field Offices or Regional Offices.
  9. Contributes to the regular review of business processes, manuals and release note, and divisional and centre procedures.
  10. Any other duties or assignments as requested by the supervisor.

To qualify as a Champion for every Child you will have…

Required:

  • Completion of secondary education
  • A minimum six years relevant working experience, preferably in a procurement function in a commercial fast-paced working environment
  • Proficiency in Microsoft Office package, Word, Excel and Power point
  • Knowledge of SAP or other ERP systems
  • Fluency in English
  • Valid work permit and residency in Denmark at the time of submitting the application. Note that the selected candidate is responsible for obtaining any required extension of their residency permit as an extension cannot be dependent on an employment with UNICEF.

Desirable:

  • Technical or University level courses in business related subjects
  • Proven ability to manage and monitor the effective implementation of procurement activities
  • Experience with procurement of medical equipment, in particular oxygen therapy products, and complex projects
  • Knowledge of UNICEF programmes or other UN agencies
  • Proficiency in an additional UN language (Russian, Spanish, Chinese, Arabic, French)
