JOB SUMMARY: The Volunteer Coordinator has full responsibility to maintain the existing IRC WA volunteer database, actively expanding a newer volunteer and intern base and facilitating the process of interviewing them and matching them to the needs of 10 programs within IRC WA. The VEC area of recruitment will primarily be from the community partnerships and Corporate Employee Engagement Workshops.

VEC effort is to increase the capacity of the International Rescue Committee in Seattle, WA to pursue diverse and robust database of volunteers for a variety of IRC WA programs through an annual volunteer appreciation event with all current and prospective pool of volunteers.

The VEC is expected to initiate introductions with companies and corporations to engage their employees with employee engagement workshops and create experiential opportunities for their employee’s engaging relationship with a variety of state, county, city, corporate, foundation, gaming industry companies’ university employees etc.

The VEC will also contribute to maintaining IRC organizational and compliance monitoring tools for IRC WA Volunteer & intern pool on IRC maintained database in SF & Airtable.

Furthermore, this position will remain in close communication with IRC HQ to maintain best practices and safety protocol in all volunteers related engagement protocol.

Essential Job Functions

- 60% Community +Corporate Volunteer Engagement - Give High Priority in Locating Corporations w/ Employee Matching strategies +Employee Engagement + Employee Giving Opportunities - Actively discuss with each Program Manager their Needs for Intern and Volunteer Engagement positions (most specifically for Match related programs). Strategize with PMS on their match progress report for Volunteer & In-Kind time and provide analysis on gaps and progress. - Actively scout and engage Volunteers from Community groups, Faith Based Organizations, Book Clubs, Student Clubs. - Build out an Annual Calendar of Employee Giving Months+ In-Kind Drives for the Fiscal Year - Cultivate Creative ways of creating Volunteer Workshop Opportunities for Programs and pass to the Program Lead. - Ensure the IRC maintains an active, effective, professionally managed intern and volunteer program, on-call volunteer email list and building volunteer and internship recruitment, management, and onboarding processes and strategies by drafting appropriate communications. - Interview, Background Check Interns+ Volunteers. - Ensure accurate record keeping of Volunteers Data in Salesforce is updated and use this information to accurately track and manage volunteer time for accurate compliance Match reporting process. - Become familiar with IRC HQ policies, programs, and procedures as they relate to individual and group volunteer roles. - Accurately keep record of tracking and reporting processes for audits - Participate in development team meetings, weekly staff meetings, and national skills building trainings, calls, and communities of practice. - Comply with all policies, procedures, and protocols of the agency. - In collaboration with Development Team, help prepare for and facilitate volunteer orientations and Volunteer Appreciation Event for Community & Corporate information sessions.

In-Kind Drives

- Strategize with Program Managers & Ops Departments of their In-Kind Needs (Car Donations, Housing, School Supplies, Backpack Drives, Spring Cleaning, Winter Wear Clothing for Programs. Maintain a buffer of highly requested donations in stock throughout the year - Actively seek out online platforms, community newsletters, WhatsApp Community Groups, School Clubs, Univ Clubs, FB groups, schools, bulletin boards, restaurant, coffee places, hotels, Just Serve Platform, FB, Company & Corporation Contacts to promote In-Kind Drives - Proactively maintain a relationship with all Partners/Donors who give towards IRC In-Kind drives and maintain regular communication. - Build out Annual Calendar of In-Kind Drives for the Fiscal Year which coincide with National Holidays/Seasons/Giving Months/Festivals. - Ensure accurate record keeping of In-Kind Donations in collaboration with Operations. - Work closely with IRC HQ in building maximum output for In-Kind +Employee Engagement collaboration. - Work with Communication Coordinator in developing flyers and promotional material for In-Kind Drives

KEY WORKING RELATIONSHIPS

Position Reports to: Development Manager.

Indirect Reporting: Executive Director and Program Managers. Other Internal and/or external contacts: HQ program officers, other grants management staff, resource development team and program staff.

Requirements

- Bachelor’s Degree in Community Development, Nonprofit Management, or related field or demonstrated work experience equivalent. - Minimum of 3+ years related work experience. - Demonstrated understanding of fundraising and non-profit management. - Proven track record with fundraising and grants management and administration, preferred. - Strong organizational skills including multi-tasking, prioritizing, planning, and effective time management. - Project management experience a plus. - Proficient in Microsoft Office-Training for Salesforce will be provided. - Motivated, flexible and ability to work independently. - Strong written and oral communication skills with a fluency in written and spoken English, with bi-lingual ability preferred. - Experience providing formal and informal training, editing, and giving and receiving written and verbal feedback. - Ability to communicate with limited-English speakers. - Demonstrated multi-cultural experience. - Valid driver’s license, active insurance policy and access to reliable transportation.
