Job Description

Job Overview:

Under the direction of the Development Officer, the Volunteer Coordinator is responsible for oversight and execution of broad volunteer engagement strategies, including collaborating with IRC in Salt Lake City staff to determine one-time and ongoing individual volunteer and intern needs, support building program capacity through community volunteer engagement, and raise awareness and the profile of the IRC in Salt Lake City and the people served through meaningful partnership with community volunteers. The coordinator will recruit, screen, train, supervise recruited volunteers, interns, and mentors; provide on-going support and guidance; and manage volunteer information in a central database system, Salesforce. The coordinator will ensure all volunteers and interns receive an in-depth onboarding, including developing and maintaining trauma-informed, client-centric, inclusive training materials to ensure committed community members are best prepared for their work with refugees, asylees, and other displaced peoples arriving to Utah. At the IRC in Salt Lake City, the Volunteer Coordinator works with more than 1,000 volunteers annually, including more than 100 interns, who provide critical supports for more than 20 programs and services offered to over 2,000 people served annually.

Major Responsibilities:

Internship Coordination

· Ensure the IRC maintains an active, effective, inclusive, professionally managed intern and volunteer program supported by a comprehensive volunteer engagement strategy.

· Liaise actively with program managers and other staff members on intern/volunteer opportunities for their respective programs. Ensure assignment descriptions align with staff and client needs and are consistently formatted and posted.

· Provide regular staff trainings to ensure development of strategic volunteer and intern opportunities, robust supervision, and supportive supervision.

· Organize three intern recruitment cycles (fall, spring, summer) annually; manage office-wide application and recruitment process.

· Oversee onboarding, ongoing support, and exit process for all interns. This includes processing background checks, ensuring completion of all application materials, leading general orientation sessions, completing mid-point check-ins and managing other situations as needed.

· Organize regular training and professional development sessions tailored to each intern cohort.

· Maintain robust and responsive relationships with all universities and intern partner organizations in the area.

Volunteer Coordination

· Coordinate with staff to determine volunteer needs and assist with assignment description development.

· Conduct outreach activities to attract new volunteers; recruit and interview candidates.

· Conduct regular information sessions for potential volunteers, interns, and mentors.

· Conduct orientation sessions, training, and ongoing supervision for all accepted volunteers.

· Maintain regular communication and act as a liaison between IRC staff and volunteers.

· Maintain volunteer files; maintain records in database; manage timesheets and timesheet entries each month; complete monthly volunteer hours reporting for matching grants.

· Maintain robust and responsive relationships with all volunteer partner organizations in the area while actively pursuing new partner relationships.

· Conduct recognition and community building events for volunteers and interns.

Development Support & Outreach

· Represent IRC at local meetings, seminars, forums, and other community outreach opportunities as needed.

· Conduct outreach, networking activities, and other advertising to recruit and educate potential donors, interns, volunteers, and partners as needed.

· Organize and lead regular volunteer orientation webinars and/or in-person sessions to provide an overview to potential volunteers of all current volunteer opportunities.

· Respond to new volunteer inquiries swiftly; communicate regularly with current volunteers and volunteer alumni.

· Maintain individual files on all interns and volunteers, record and report all intern/volunteer time, and keep accurate electronic records. Coordinate with colleague(s) to ensure volunteer processing and documentation is tracked.

· Update and develop resources to manage intern and volunteer lifecycle.

· Supervise community engagement interns or other volunteers as needed.

· Assist in the coordination of annual IRC-organized fundraisers and large-scale donation drives, including Breaking Bread, Light One Candle, and the Warm Welcome Winter Clothing Drive.

· Participate as a member of the IRC in Salt Lake City’s Speakers Bureau, including attending community tabling and speaking events.

· Contribute regularly to IRC communications, ensuring updates on in-kind donations, group volunteers and other operational needs.

· Participate in development team meetings, weekly staff meetings, and national skills building trainings, calls, and communities of practice, especially active participation in monthly Volunteer Coordination Communities of Practice.

· Maintain professionalism, customer service, and IRC Way ideals when working with the community.

· Other tasks and projects as assigned.

KEY WORKING RELATIONSHIPS

Position Reports to: Development Officer

Position directly supervises: Strategic Volunteer Engagement AmeriCorps VISTA, Volunteer Operations Assistant

Indirect Reporting: Executive Director, Deputy Directors

Other Internal and/or external contacts: Resource development team, program leadership and staff, HQ counterparts, and community partners and supporters.

Job Requirements

Demonstrated Skills and Competencies

· Proven ability to contribute both independently and as a key team member.

· Proficient in Microsoft Office applications (Word, Excel, Outlook).

· Self-starter with excellent problem-solving skills combined with the proven ability to multi-task, prioritize duties, and manage time effectively.

· Experience developing and providing orientations and trainings as well as public speaking.

· Experience using donor CRM systems, especially Salesforce, preferred.

· Ability to prioritize and to juggle multiple tasks simultaneously in a fast-paced environment.

· Well organized with attention to detail.

· Ability to work effectively in a multi-cultural setting.

· Self-direction and initiative, when needed, to take the lead and to follow through to completion.

· Previous customer service experience preferred.

Working Environment:

· Must be based in the service delivery area.

· A combination of standard office environment, remote work, and ‘field’ time within the service delivery area to perform the above outlined. May require occasional weekend and/or evening work.

· Must have a valid driver’s license with legally required insurance. Position will require using own transportation within service delivery area. Mileage reimbursement available.
