Support operational functions for effective office management

You have:

  • Completion of Secondary education. Professional and/or university courses related to the field of work are highly desirable.
  • Minimum of seven (7) years’ experience including progressively responsible work in office administration and human resources.
  • Fluency in oral and written English and Hindi is required. Knowledge of another UN working language and working language of the duty station, is an asset.

Contract

This is a G-7 contract. This kind of contract is known as General Service and related categories. It is normally only for nationals. It usually requires 7 years of experience, depending on education. More about G-7 contracts.

For Every Child, AN ADVOCATE...

The Senior Operations Associate will support the Deputy Representative Operations in strategic operations and communications involving the exchange of non-routine information, coordinating, and following up on deadlines as well as establishing and maintaining communications with staff across the office. This post provides operational and administrative support in all areas of Operations including Finance, HR, Admin, ICT, etc.

Key functions, accountabilities and related duties/tasks:

1. Receives, screens, logs and routes correspondences, drafts and attaches necessary background information and maintains follow-up system to ensure action taken and/or responses to any queries. Drafts routine correspondence from oral instructions, previous correspondence or other available information sources in accordance with standard office procedures.

2. Assists the Deputy Representative in preparing responses to address any queries; drafting periodic and statutory reports for submission to Regional Office or HQ as well as, evaluations and justifications, as required, on Operational issues.

3. Assists in the preparation of office budgets status whenever requested by supervisor, prepare operations costs and maintains necessary budgetary control records in coordination with finance/ budget section.

4. Provide operational and administrative support for the organization of internal management and operational meetings such as operations meetings, mid-year and annual reviews, work planning meetings, workshops, Heads of Units meetings, operations section meetings led by the DRO as well as recording of minutes and/or notes at such meetings.

5. Assist in providing briefing, and information to all categories of staff covering operational rules, procedures and policies, including drafting replies to communications as required. Prepare on own initiative, correspondence, reports and briefings based on the instruction of the Deputy Representative/Operations. Maintain ICO OPS staff leave plan.

6. Provide support in the coordination of collecting needed documents for the office, including SOPs and office committees; and ensure an up-to-date file of all subsequent updates. Act as the focal point for ECM for the DRO office

7. Assist in logistical support for operations meetings, workshops and training courses. Maintain OPS calendar and arranges meetings, take minutes, ensuring accuracy, attention to detail and coherence. ensures follow up on agreed actions and/or implementation of recommendations therein.

8. Make travel arrangements for the supervisor and perform liaison duties with other sections/units. This entails following up on TAs, making the bookings, arranging for the visas, airport transfers, accommodation, etc, prepare briefing materials for the supervisor for use on official trips on special meetings/workshops.

9. Organize DRO’s appointments, maintain calendar, schedule appointments and meetings, screen and visitors, place and screens call and respond to queries with discretion. Administer travel arrangements of supervisor, initiate travel processes, follow up and conclude all related travel processes and documents.

10. Prepares, on own initiative, correspondence, reports, evaluations and justifications, as required, on general operational and administrative issue and specialized tasks which may be of a confidential nature within the assigned area of responsibility and ensures follow-up action.

11. Provide support, advice and information to all staff covering all operation sections, procedures and policies, including drafting replies to queries as required. Prepare on own initiative, correspondence, reports, briefing, etc. on operations matters, ensuring to maintain confidentiality where required.

12. Performs other duties, as required by supervisor.
