1. Organizational Context

  1. Organizational Setting

The post is located in the PCT Legal and User Support Section, PCT Legal and User Relations Division, PCT Legal and International Affairs Department, Patents and Technology Sector. The PCT Legal and User Support Section deals with providing legal advice on PCT matters to all users of the PCT system (in particular applicants, their agents and PCT Contracting States), implementing changes to the PCT Regulations and other changes within the PCT system and reaching out to PCT users and potential PCT users through various outreach activities.

  1. Purpose Statement

The main role of the incumbent is to keep the seminar materials used by the Division up-to-date in all relevant languages, to prepare seminar documents in particular in English, French, German and Spanish, to prepare sets of seminar slides for PowerPoint presentations, to assist in the organization of PCT outreach activities and to support the Division in having a high-impact social media presence.

  1. Reporting Lines

The incumbent works under the supervision of the Deputy Director and Head of the PCT Legal and User Support Section.

2. Duties and Responsibilities

The incumbent will perform the following principal duties:

a. Prepare seminar documents in English, French, German, Spanish and, where required, in other languages.

b. Prepare sets of PowerPoint slides and filled-in editable PDF forms based on the seminar materials including bound working copies for speakers.

c. Establish and maintain master slides and master copies of seminar documents in Chinese, English, French, German, Japanese, Korean, Russian, Spanish and, where required, in other languages.

d. Regularly compile all updated slides in English, forwarding them to relevant colleagues for translation in Chinese, French, German, Japanese, Korean, Russian, Spanish and, where required, other languages.

e. Assist in the organization and administrative support of PCT outreach activities undertaken by the Division.

f. Assist and support the Section and Division in establishing and maintaining a high-impact social media presence.

g. Assist other Divisions within the Sector to prepare seminar documents and PowerPoint presentations for outreach activities undertaken by those Divisions.

h. Draft standard letters, memoranda and e-mails, and other PCT documents, as required.

i. Propose revisions of procedure, as appropriate, in order to streamline and expedite actions in the preparation of various documents for the Division.

j. Perform other related duties as required.

3. Requirements

Education (Essential)

Completion of secondary education.

Experience (Essential)

At least five years of relevant experience, including in office support.

Language (Essential)

Excellent knowledge of written and spoken English.

Language (Desirable)

Knowledge of other official UN languages, in particular French.

Job Related Competencies (Essential)

Ability to work within the applicable rules, regulations and procedures.

Ability to prioritize work assignments, organize own schedule, perform routine work independently, meet deadlines; ability to work effectively in a team.

Competent user of Microsoft Office applications, including Word, Excel, Outlook, PowerPoint and the ability to adapt quickly to new software.

Good knowledge of Adobe Acrobat.

Good understanding of various social media platform, in particular LinkedIn.

Ability to search for and download information from the Internet.

Good communication and interpersonal skills and ability to maintain effective partnerships and working relations in a multi-cultural environment with sensitivity and respect for diversity.

General Service posts are subject to local recruitment. Staff in the General Service category are recruited in the host country or within reasonable commuting distance of the Headquarters.

Temporary appointments are renewable, subject to continuing needs, availability of budget and satisfactory performance with a maximum cumulative length of two years.
