The salary for this job should be between 131,084 USD and 171,644 USD.

Background

The Executive Office (EDO) supports the Executive Director in providing vision, establishing priorities, fostering coherence amongst the senior management team, leading advocacy, ensuring overall management, oversight, and accountability for the organization.

Under the guidance and direct supervision of the Special Assistant the Coordination Specialist is responsible for advising on and assisting in the elaboration of - the Executive Director’s strategic priorities, provide Policy and advisory services, advocacy/representation, and networking to further UN Women’s agenda globally and oversee administrative functions supporting the Executive Director and providing effective communication and information management support.

Duties and Responsibilities

Provide coordination and liaison support

  • Support in the coordination of the Executive Director’s agenda; keep track of important events and meetings, and bring these to attention of EDO colleagues;
  • Support in the coordination of preparations for the Executive Director’s participation in meetings and missions/key events;
  • Follow up on action points resulting from meetings of the Executive Director, including coordinating minutes and briefings to staff as appropriate.

Coordinate the provision of substantive support

  • Coordinate the provision of substantive and technical support to the Executive Director, including provision of policy inputs on issues as appropriate, to facilitate representation with UN Women personnel;
  • Prepare and organize information and briefing materials for the Executive Director for meetings, ensure that relevant staff are informed and/or called to attend;
  • Coordinate, format and copy edit, briefing notes, talking points, and other briefing materials for the Executive Director in a timely manner, ensuring notes have been cleared by relevant colleagues;
  • Ensure tasking for briefing notes is done in a timely manner to appropriate colleagues.

Review, analysis, and quality assurance of documents for the Executive Director and/or Special Assistant

  • Reviews speeches, briefs, background papers, etc. for substantive accuracy, completeness, strategic messaging, in liaison with the Special Assistant as well as other units throughout UNW HQ and UN Women as needed;
  • Provides clear and timely guidance to personnel to facilitate preparation of briefs and speeches for the Executive Director
  • Drafts and contributes to speeches and briefs for the Executive Director as assigned;
  • Reviews and analyzes relevant documents and submissions for the approval or clearance of the Special Assistance to ensure alignment with corporate guidance and standards as well as to ensure quality and comprehensiveness of input;
  • Channels feedback/comments/questions from the Executive Director to teams and vice versa;
  • Performs research on topics as assigned, analyzes information and synthesizes into a clear summary to facilitate decision-making by the Executive Director and/or Special assistant.

Provide high level administrative and logistical support

  • Suggest adequate UN Women representation and ensure all protocol arrangements are in place;
  • Support in the planning and organization of the Executive Director’s official travel, including the timely preparation of logistics and official travel files and background documents, as well as ensure the preparation of official travel reports;
  • Ensure timely receipt of notes and readouts upon the Executive Director’s return from duty travel and distribute as agreed.

The incumbent performs other duties within their functional profile as deemed necessary for the efficient functioning of the Office and the Organization.

Required Skills and Experience

Education and Certification:

  • Master’s degree or equivalent in social sciences, political science, international relations, business administration or management, public administration or a related field is required;
  • A first-level university degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree.

Experience:

  • At least 5 years of progressively varied responsible experience with international organizations;
  • Experience in the United Nations System is required;
  • Experience working on gender equality, women's rights and international development cooperation is desirable;
  • Previous experience in supporting head office management and coordination functions is desirable;
  • Experience leading and coaching staff in international settings is desirable;
  • Experience in the usage of computers and office software packages (MS Word, Excel, etc.) and spreadsheet and database packages, experience in handling of web-based management systems is required;
  • Experience in the use of a modern web-based ERP System, preferably Oracle Cloud, is desirable.

Languages:

  • Fluency in English is required;
  • Knowledge of another official UN language is desirable (French, Arabic, Chinese, Russian or Spanish).
