Background

The duration of the assignment is 364 days. Whereas an external candidate will be offered a temporary appointment; subject to release agreements, staff members in UN Women may be administered as a temporary assignment and staff members in the UN Common system may be administered under a loan arrangement.

The UN Women, grounded in the vision of equality enshrined in the Charter of the United Nations, works for the elimination of discrimination against women and girls; the empowerment of women; and the achievement of equality between women and men as partners and beneficiaries of development, human rights, humanitarian action and peace and security. Placing women’s rights at the center of all its efforts, the UN Women will lead and coordinate United Nations system efforts to ensure that commitments on gender equality and gender mainstreaming translate into action throughout the world. It will provide strong and coherent leadership in support of Member States’ priorities and efforts, building effective partnerships with civil society and other relevant actors.

The UN Trust Fund in Support of Actions to Eliminate Violence against Women (“UN Trust Fund”) was established through UN General Assembly Resolution 50/166 with UN Women as its Administrator on behalf of the UN system. The UN Trust Fund is a leading global multi-lateral mechanism supporting national efforts to end violence against women and girls.

The UN Trust Fund provides technical assistance and funding to advance the development of innovative models and strategic interventions in the area of violence against women. It focuses on supporting the implementation of national laws and plans of action on violence against women, calling for greater attention to the implementation of existing human rights standards; multi-sector approaches; strengthened partnerships among national governments, civil society, and women’s groups; UN agencies and other key stakeholders; stronger institutional mechanisms at the national and sub-national levels; and strengthened efforts for upscaling and sustainability. During 2023, the UN Trust Fund managed a grant portfolio of 191 projects aimed at preventing and responding to violence against women and girls in 68 countries and territories, across 5 regions, with grants totaling $92.1 million. This is the single largest portfolio managed by UN Women.

Under the direct supervision of the Chief, the Coordination Analyst is responsible for providing coordination, communication, analytical, and executive support to the Chief of the UN Trust Fund, and through this, the Secretariat at large.

Duties and Responsibilities

1. Provide coordination and analytical support:

  • Prepare and coordinate the UN Trust Fund Secretariat’s internal and external meetings, coordination and assembly of meeting materials, briefing materials, Talking Points, and PowerPoint presentations for the UN Trust Fund Chief.
  • Collate information and talking points and conduct research on relevant topics in preparation for the Chief’s missions and participation in internal and external meetings.
  • Coordinate and support UN Trust Fund Management Response actions that fall under the Chief’s purview.
  • Undertake other ad hoc requests at the request of the UN Trust Fund Chief, especially on behalf of the UN Trust Fund Management team priorities.

2. Provide technical assistance to the executive administration and communication support to the Chief’s office:

  • Manage the continuous demand for appointments with and by the UN Trust Fund Secretariat Chief’s office. Manage the calendar, liaise with callers, determine priorities, balance time available, and ensure that all demands are met as appropriately and efficiently as possible, provide feedback to callers, and ensure timely responses to requests for appointments.
  • Support with coordination and preparation of internal and external meetings led by the Chief, drafting of meeting summaries, and tracking follow-up actions.
  • Provide substantive inputs and/or coordinate the drafting of communication materials in collaboration with relevant team members and stakeholders for effective dissemination of pertinent information to UN Trust Fund Secretariat staff and broader UN Trust Fund key stakeholders (including grantees, key partners and others).
  • Lead the development and maintenance of a searchable archive of talking points, PowerPoint presentations, and briefing notes prepared by the UN Trust Fund for easy retrieval in collaboration with the other UN Trust Fund teams.
  • Under the guidance of the Operations Manager, follow up on the submissions, clearances, and approvals of items on the Chief’s matrix table.
  • Review incoming correspondence and prepare routine responses on administrative and other related matters.
  • Prepare and manage the long-term calendar of commitments/workshops/high-level meetings for the Secretariat.
  • In coordination with the Operations Team, steward the coordination of travel arrangements, with a primary focus on ensuring materials are prepared, mission scheduling and all concerned parties are aware of the Chief’s visit and scheduled activities.
  • Manage PowerPoint presentations and videoconferencing and all operational aspects at meetings initiated by the Chief, as requested.
  • Undertake other ad hoc duties and assignments at the request of the UN Trust Fund Chief.

3. Provide technical and executive support to the Chief with relationship building and stakeholder management.

  • Maintain timely communications with key partners and stakeholders with the EVAW ecosystem.
  • Support intelligence gathering for potential partners of the Trust Fund to develop relationships and engage with moving forward.

The incumbent performs other duties within their functional profile as deemed necessary for the efficient functioning of the Office and the Organization.

Required Skills and Experience

Education and Certification:

  • Master’s degree (or equivalent) in Social Sciences, Human Rights, Gender/ Women’s studies, International Development, or related field is required.
  • A first-level university degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced university degree.

Experience:

  • At least two years of progressively responsible experience in the areas of resource mobilization, advocacy for women’s rights, and ending violence against women.
  • Experience in inter-governmental processes is required.
  • Prior experience in the area of ending violence against women is required.
  • Experience in the usage of computers and office software packages (MS Word, Excel, etc.) and spreadsheet and database packages is desirable..
  • Prior experience with the UN is desirable.

Languages:

  • Fluency in English is required.
  • Knowledge of another official UN language is desirable (French, Arabic, Chinese, Russian or Spanish).
