Org. Setting and Reporting

The objective of this Convention is to combat desertification and mitigate the effects of drought in countries experiencing serious drought and/or desertification, particularly in Africa, through effective action at all levels, supported by international cooperation and partnership arrangements, in the framework of an integrated approach which is consistent with Agenda 21, with a view to contributing to the achievement of sustainable development in affected areas. The functions of the secretariat are, among others, to make arrangements for sessions of the Conference of the Parties (COP) and its subsidiary bodies. In addition, the secretariat also provides assistance to Parties in implementing the Convention. This post is located at the UNCCD secretariat duty station in Bonn, Germany.

Responsibilities

Under the direct supervision of the Travel Assistant and overall supervision of Chief, Administration Services, the incumbent will perform the following duties: • Provide information and guidance to the administrative office, staff and consultants about frequency of air services on the most direct, efficient, economical/cost-effective routings (including more complex itineraries) and airfare rates, as permitted by the rules and regulations. Assist in making travel plans in order to take advantage of the benefits to be derived from advance purchases or special promotional fares. • Calculates airfare, excess baggage entitlements, terminal expenses, daily subsistence allowance for staff and dependents traveling on missions, etc. • Provides information on rates and travel schedules for specific itineraries. • Arrange for changes or cancellations requested by travelers and arrange tickets to be reissued, including obtaining reimbursement, where applicable. • Contacts airlines or travel agency to make reservations at least expensive fares, and requests issuance of tickets. • Initiates requests for visas. • Review travel claims and supporting documentation for completeness, accuracy and validity, prior to forwarding to the Finance; ensure that entitlements are in conformity with Staff Rules. Refer discrepancies back to Administrative and/or Certifying Officers for clarification and possible correction. • Advises substantive offices, travelers, and other relevant staff of arrival information, requesting arrangements to be made accordingly for traveler. • Maintain records of all travel authorizations processed and record savings accrued to the organization as a result of the cost savings techniques employed. • Perform any other job-related activity required to achieve the goals and objectives of the Secretariat and its programmes.

Education

High school diploma or equivalent is required. Experience in the usage of computers and office software packages (MS Word, Excel, etc.) is required.

Work Experience

A minimum of five (5) years of experience in travel administration routing, and travel reimbursement, or related area is required. The minimum years of relevant experience is reduced by two years for candidates who possess a first-level University degree. Working experience in Enterprise Resource Planning (ERP) systems is required. Previous experience using “Amadeus” reservation system is desirable. Having experience in an IATA accredited travel agency is desirable. Three (3) years of working experience in the UN system or similar international organization is desirable. Experience arranging travel for large groups of meeting participants is desirable.

Languages

For this position, fluency in English is required. Knowledge of another UN official language would be an advantage

Assessment

Evaluation of qualified candidates may include an assessment exercise which will be followed by competency-based interview.

Special Notice

Appointment against this temporary position is for limited duration (6 months). This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country.
