Summary of key functions/accountabilities

  • Receives requests for transport from all staff and assigns appropriate means of transport from the UNICEF vehicle pool or outsourced car hire based on the most cost-effectiveness within the set standards operations procedures.
  • Brings to the attention of the Supervisor any abnormalities in the use of transport paid for by the organization and proposes corrective measures.
  • Supervises a pool of UNICEF drivers and follow-up on the usage of office vehicles, ensures that drivers are fully conversant and adhere to UNICEF driving rules and procedures for their safety and that of their authorized passengers.
  • Prepare schedules for repair and maintenance of UNICEF vehicles, and arrange meetings with contractors accordingly.
  • Maintain a schedule of routine maintenance and liaise with relevant to ensure that any defect is timely reported and repaired and that vehicles are serviced as per recommended schedule.
  • Manages fuel and generate monthly fuel consumption per vehicle and brings to the attention of supervisor and Administrative Officer any abnormality on the consumption pattern of any vehicle.
  • Ensures that all UNICEF vehicles comply with local reglementary requirements and have updated documentation (Insurance, technical clearance, vignette, ...)
  • Maintain staff transport and other transport correspondence files. Draft and type all correspondence relating to transportation.
  • Assists in preparation of Annual Budget by providing necessary information on repair and maintenance of vehicles, fuel consumption as well as other transport expenditures.
  • Maintain/Control records on transport expenditure and provide this information to the Head of Unit by way of periodic reports.
  • Process for payment all invoices related to transport services
  • Arrange airport pick up and drop UNICEF staff and visitors.

To be qualified as a champion for every Child, you must….

  • Complete secondary education preferably supplemented by technical or university courses related to the field of work.
  • Have a minimum of 6 years of relevant administrative or clerical work experience is required.
  • Have relevant experience in a UN system agency or organization is considered as an asset.
  • Be fluent in French and good working knowledge in English. Knowledge of a local language is an asset.
