Key Responsibilities:
This position provides end-to-end coordination and operational support for Global Finance Learning and Development (L&D) programs, including participant administration, learning environment management, stakeholder communication, scheduling, and program delivery logistics. The role ensures seamless execution of virtual and in-person programs by managing systems, supporting facilitators, coordinating travel and events, and overseeing processes such as chargebacks, reporting, and program closeout.
MAIN RESPONSIBILITIES
Program Coordination & Learning Environment Management
- Coordinate the full lifecycle of multiple L&D programs (e.g., Iron Manager, NextGen, ACTS, and others).
- Set up and manage Teams channels and learning environments for each cohort.
- Upload and organize program materials and resources for facilitators and participants.
- Track nominations, manage participant records, and maintain program data systems.
- Monitor participant progress, assignment submissions, and engagement across programs.
- Prepare program launch materials, timelines, and visuals.
Participant & Stakeholder Communication
- Serve as a primary point of contact for participants, regional nominators, and stakeholders.
- Maintain ongoing communication across all phases of programs (pre-launch, in-program, and closeout).
- Manage shared inboxes (e.g., Global Finance and Anti-Corruption), responding to or redirecting inquiries.
- Build and maintain strong relationships with global stakeholders across regions and time zones.
- Send program communications, including invitations, reminders, follow-ups, and updates.
Event, Travel & Residency Logistics
- Coordinate end-to-end logistics for in-person programs and residencies.
- Manage participant travel logistics, including flight coordination, confirmations, and communication.
- Coordinate hotel accommodations, meeting spaces, catering, and on-site needs.
- Prepare and distribute visa invitation letters and support-related documentation.
- Liaise with regional offices, vendors, and local planning teams.
- Design and produce printed materials (e.g., welcome packets, nametags, banners, certificates).
Scheduling & Session Coordination
- Schedule all program-related sessions, including webinars, coaching calls, group sessions, and debriefs.
- Coordinate across multiple time zones to ensure optimal participation.
- Manage calendar invitations and updates for all participants and facilitators.
- Support facilitator readiness by ensuring sessions are properly scheduled and resourced.
Program Closeout, Reporting & Financial Processes
- Track participant completion and ensure all program requirements are met.
- Issue certificates and communicate next steps to participants.
- Manage chargeback processes across programs and ensure accurate financial tracking.
- Maintain alumni records, reporting systems, and distribution lists (e.g., Power BI updates).
- Support program evaluation processes and data collection.
KNOWLEDGE, SKILLS, AND QUALIFICATIONS
- Experience coordinating programs, events, or learning initiatives.
- Strong organizational and project coordination skills across multiple priorities.
- Experience with digital learning tools (O365, Teams, Zoom, survey tools, etc.).
- Strong communication skills with the ability to work across cultures and time zones.
- Ability to manage logistics, stakeholders, and details simultaneously.
- Bachelor's degree or equivalent work experience, preferably in learning & development, organizational development, communications, or business administration.
- Preferred experience in L&D, organizational development, or program operations. Coordinating travel, events, or global programs.
- Familiarity with reporting tools (e.g., Power BI) and design tools (e.g., Canva).
- May travel occasionally to support live events if needed.
