Org. Setting and Reporting This position is located in Kinshasa in the Field Technology Section (FTS) of the United Nations Organization Stabilization Mission in the Democratic Republic of Congo (MONUSCO). The Telecommunications Assistant reports to the Chief Service Management.

Responsibilities ASSETS: - Assists in the receiving, inspecting and verification of all incoming ICT assets and supplies; - Issues CITS equipment and enters the records in the asset control system. - Prepares the scheduling of deliveries of equipment to users and coordinates returns of CITS equipment to the warehouse. - Maintains and controls proper records for all expandable and non-expendable FTS assets using the organization’s enterprise asset management systems. - Updates and administers the asset database, tracking the life cycle of all assets. - Monitors the physical inventory of stocked items on a regular basis to ensure accuracy of records, and location of property. - Identifies surplus stock and compiles monthly report with regards to MONUSCO stock holdings. - Compiles PLE equipment monthly reports in use and unit stock. - Drafts Power BI reports with regards to FTS stock holdings (in use / unit stock). - Assists Property Management unit with the annual Impairment project for FTS assets. - Assists property Management and MSC with closing down of sectors, (drafting inventory reports, planning on the disposal and or moving of equipment).

ICT Projects: - Consolidates and registers new projects on online project platform. - Follows up and updates the projects on Project Online platform and provides monthly statistics on the on-going project. - Updates Microsoft projects schedule for all register projects. - Sends all relevant Projects Documentations to the Project Board for approval/signature. - Ensures equipment / material is available for the project. - Creates Umoja notification for equipment to be issued/shipped for the project. - Initiates and coordinates Projects Meetings.

OPERATIONS SUPPORT: - Performs related administrative duties, such as drafting routine correspondence, and assisting with the coordination of the travel programme. - Monitors accounts and payment to vendors and individual contractors for services. - Assists with the coordination of physical space planning. - Assists with the administrative arrangements for seminars, conferences, and meetings. - Monitors status of expenditures and allotments through Umoja, records variations, updates budget tables; consolidates data received and provides support to higher-level staff with respect to budget reviews. - Prepares, processes and follows-up on administrative arrangements and forms related to the official travel of staff; maintains files of rules, regulations, administrative instructions and other related documentation; maintains up-to-date work unit files (both paper and electronic); - Coordinates extensively with service units and liaises frequently with internal team members both at Headquarters and in field missions.

OTHER DUTIES AND RESPONSIBILITIES: - Ensures that all required spare parts and supplies are in place; - Coordinates the scheduled preventative and corrective maintenance on ICT equipment. - Coordinates with the Asset Management Unit on proper inventory of records. - Organizes the receiving and inspection of new equipment; - Assists in formulating the training curriculum and in-house training programs for staff and others within the unit.

Education High school diploma or equivalent is required.

Job - Specific Qualification Certificate/diploma or other supplemental academic qualifications or training in Telecommunications is required.

Industry training and certifications are desirable.

Work Experience At least six (6) years of working experience in providing ICT operational support services related to assets, telephone billing, and communications centre and/or ICT operations support, including at least three years of experience at the international level is required.

Experience in international operations in a post conflict-environment is desirable.

Languages English and French are the working languages of the United Nations Secretariat. Fluency in English (both oral and written) is required; knowledge of French is desirable.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
