Org. Setting and Reporting

The position is located in the Supply Chain Management Pillar of the Mission Support Component of the United Nations Mission in Support of the Hudaydah Agreement (UNMHA). The incumbent will be based in Aden, Yemen and will report to the Officer-in-Charge of MOVCON

Responsibilities

Within limits of delegated authority, the Team Assistant/MovCon may be responsible for the following duties: Perform a wide range of office support and administrative functions. Provide secretarial, administrative and logistics support for meetings, boards, committees, conferences, etc. Assist in the smooth running of the office by providing efficient and timely administrative support. Receive all visitors to the office, including UN staff and government officials, with appropriate care, courtesy and practices. Assists in duplication of documents and be responsible for their distribution to respective sections/units and filing copies thereof. Maintain a calendar of the appointments of the Senior Manager, including official visits within and outside the mission area. Collection and delivery of mail, pouch, documents and other supplies/materials. Consolidate monthly requests for office supplies for the section. Check and weigh baggage, verify passenger identification with ID cards or passports, and cross-reference with EMOP/approved flight manifest. Ensure accurate completion of check-in manifests, immigration documentation, and passport stamping for international flights. Confirm the passenger counts match the manifest and ensure baggage is properly tagged according to destination. Coordinate with our transport driver for the pick-up and drop-off of arriving and departing passengers to set locations. Perform other tasks as required by the supervisor.

Languages

English and French are the working languages of the United Nations. For the position advertised, fluency in English and Arabic (both oral and written) is required. NOTE: Fluency equals a rating of "fluent" in all four areas (read, write, speak, understand) and "knowledge of" equals a rating of "confident" in two of the four areas.
