Org. Setting and Reporting The United Nations Global Service Centre (UNGSC) provides critical Logistics, Geospatial, Information and Telecommunications Technologies services and Training to all peacekeeping missions around the world.

This position is located in the Customer Service Unit (CSU) within Delivery & Return Section of Supply Chain Service at the United Nations Global Service Centre, Brindisi, Italy.

The Team Assistant is under the general supervision of the Chief, Customer Service Unit (CSU).

Responsibilities Within delegated authority, the Team Assistant will be responsible for the following duties:

  • Performs a wide range of office support and administrative functions.
  • Responds or drafts responses to routine correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports.
  • Monitors processes and schedules related the unit’s outputs, products, tasks, etc.; where applicable, assists in the verification of receipt and accuracy of requisite documents, approvals, signatures, etc. to ensure compliance with relevant legal, financial and other requirements.
  • Researches, compiles and organizes information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc.
  • Generates a variety of standard statistical and other reports, work orders, etc., using various databases.
  • Coordinate end-to-end the Customer Service Requests (SRs): log the requests in UN official CRM tool, keep their status regularly updated, follow up to the Clients, ensure the respective and relevant correspondence is always and properly maintained, monitor the request closure service is fulfilled. Focus on the Customer satisfaction, ensuring Clients requests are always properly managed, engaging the Customer relationship with professionalism, courtesy, efficiency and effectiveness. Provides secretarial, administrative and logistics support to meetings, boards, committees, conferences, etc.
  • Assists in the maintenance of websites by scanning, converting and posting a variety of documents onto the site.
  • Assists in the preparation of presentation materials using appropriate technology/software.
  • Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit.
  • Performs data entry and extraction functions.
  • Assist the Team in maintaining the Supply Chain document management system by coordinating operational documents and publication in the Supply Chain Knowledge Base (KB), to ensure that documents are properly codified and accessible to those who need them in compliance with the Document Management process. Open, assign, escalate work orders (WO) to the pertinent Units in UNGSC or UNHQ. Monitor resolution timelines for Client requests, according to the KPIs.
  • Maintains files (both paper and electronic) and databases for work unit.
  • Assists in providing software and office equipment support.
  • Provides guidance to less experienced staff on general office processes and procedures, computer applications, etc.
  • Performs other duties as assigned.

    Education High school diploma or equivalent is required.

    Work Experience A minimum of three (03) years of progressively responsible experience in the field of supply chain management, logistics, customer service or other related fields is required. A minimum of six (06) months of experience in Document Management, Document Control and Lists\Libraries management on Microsoft SharePoint Online platforms is desirable. A minimum of six (06) months of Client front-end experience as Service Desk operator using the CRM tool (Siebel) is desirable.

    Languages English and French are the working languages of the United Nations Secretariat. Fluency in English, (oral and written) is required; knowledge of another UN language is desirable.

    Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

    Special Notice This position is temporarily available for 364 days. If the selected candidate is a staff member from the United Nations Secretariat, the selection will be administered as a temporary assignment. While this temporary assignment may provide the successful applicant with an opportunity to gain new work experience, the selection for this position is for a limited period and has no bearing on the future incumbency of the post.

Recruitment for this position is done on a local basis. This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country. All other applicants need to have a valid work permit for Italy and need to upload a copy of such work permit. Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Service category in the United Nations Secretariat. Having passed the Administrative Assessment Support Test (ASAT) in English at Headquarters, ECA, ESCWA, UNOG, UNOV, ICTR, or ICTY may be recognized in place of the GGST, pending confirmation of validity.
