Org. Setting and Reporting This position is located within the International Trade Law Division (ITLD), Office of Legal Affairs (OLA), which serves as the substantive secretariat to the United Nations Commission on International Trade Law (UNCITRAL) and is based in Vienna. The incumbent reports to the Senior Legal Officer heading the Technical Assistance unit as first reporting Officer and the Director of ITLD (Secretary of UNCITRAL) as second reporting Officer.

Responsibilities Within assigned authority, the Team Assistant will be responsible for the following duties:

  • Perform a wide range of office support and administrative functions.
  • Compile and present basic information/data on technical assistance projects and related topics or issues, with a focus on projects carried out in Arabic-speaking countries.
  • Respond or draft responses to routine correspondence and other communications;
  • Use standard word processing package to produce a wide variety of large, complex documents and reports.
  • Research, compile and organize information and reference materials from various sources, namely sources in Arabic, for reports, work plans, studies, briefings, meetings/conferences, etc.
  • Process and record correspondence ensuring conformity to relevant guidelines and requirements, monitor requisite timely follow-up actions, approvals, etc.
  • Assist in preparing working translations Arabic/English and vice versa.
  • Update and maintain large distribution lists; prepare and distribute various materials in electronic formats; handle arrangements for printing and translation as necessary; coordinate shipment arrangements, courier services, etc.
  • Assist in maintaining the UNCITRAL website and the database on Case Law on UNCITRAL texts (CLOUT), in particular webpages and other information in the Arabic language.
  • Assist in the preparation of presentation materials using appropriate technology/software.
  • Assist in the organization of virtual or hybrid meetings, trade law symposia and training events.
  • Prepare and/or process administrative requests/documents (e.g. requisitions, purchase orders, travel requests, etc.) and perform other general administrative tasks (e.g., budget follow-up).
  • Maintain files (both paper and electronic) and databases for Technical Assistance unit.
  • Perform other work-related duties as assigned.

    Education High school diploma or equivalent.

    Work Experience A minimum of three years of experience in general office support or related area is required. Experience in working with an Enterprise Resource Planning (ERP) system is desirable. Experience in working with conferencing and online meeting tools such as Microsoft Teams, Zoom, etc., is desirable. Experience working in international organizations such as the United Nations is desirable.

    Languages English or French are the working languages of the United Nations Secretariat. For this position, fluency in English and in Arabic is required. Knowledge of another official United Nations language is an advantage.

    Assessment Evaluation of qualified candidates may include an assessment exercise and a competency-based interview.

    Special Notice This is a project post. Appointment or assignment against this position is for an initial period of one year. Renewal is subject to the availability of the post or funds.

Other Skills and Requirements Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. The GGST is a proctored entry-level examination at the duty station. Any travel expenses incurred in order to take the examination are the responsibility of the candidate and will not be reimbursed by the Organization.

Having passed the Administrative Support Assessment Test [in English] at the United Nations headquarters, Economic Commission for Africa, Economic and Social Commission for Western Asia, United Nations Office at Geneva, United Nations Office at Vienna, International criminal tribunal for Rwanda or International Criminal Tribunal for the former Yugoslavia may be accepted in lieu of the GGST.

United Nations Considerations According to article 101, paragraph 3, of the Charter of the United Nations, the paramount consideration in the employment of the staff is the necessity of securing the highest standards of efficiency, competence, and integrity.
