Org. Setting and Reporting This position will be temporarily vacant for a period of eleven (11) months. This position is located in the General Services Section, Division of Administration. The Team Assistant reports to the Head of the Architecture and Engineering Unit.

Responsibilities Under the overall supervision of the Head of the Architecture and Engineering Unit, the Team Assistant will be responsible for the following duties:

  • Support the Architecture and Engineering Unit on the development of technical information for construction projects.
  • Uses Computer-aided design (CAD) software’s for internal projects.
  • Provides general office support services to help ensure the smooth functioning of an organizational unit.
  • Uses standard word processing package to produce a variety of routine correspondence, reports, tables, charts, graphs, etc., in accordance with institutional standards.
  • Proofreads written products for completeness and grammatical and typographical accuracy.
  • Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit.
  • Reviews, records, routes and/or processes mail or other documents; gathers pertinent background material; tracks and monitors follow-up action as required.
  • Receives phone call and visitors, and responds to routine inquiries and information requests, including drafting routine written responses, or routes to appropriate personnel for handling as required.
  • Maintains files (both paper and electronic) and databases for work unit.
  • Updates and maintains large distribution lists; assemble documents, reports and other materials for global dissemination, where possible using electronic formats; coordinates courier services.
  • Performs basic data entry and extraction functions.
  • Checks accuracy of simple calculations, codings, data, etc.
  • Performs a variety of administrative duties (e.g. leave recording, meeting organization, reservations, office supply and equipment orders, etc.), including preparing and/or processing administrative requests/documents (e.g. travel requests, expense claims, vouchers, visa applications, etc.).
  • Photocopies a variety of documents and other materials.
  • Operates and maintains a variety of office equipment in the performance of basic office functions, e.g. photocopier, facsimile, printer, scanner, etc.
  • Delivers urgent mail/messages.
  • Performs other duties as assigned.

    Education High school diploma or equivalent is required. Architecture or engineering related studies are desirable.

NOTE: For positions in the General Service category, candidates are required to clearly indicate in their PHPs relevant information confirming completion of High School.

Work Experience At least three (3) years of experience in general office support or related area are required. Experience in architectural and construction projects is desirable. Experience in use of CAD software and REVIT 3D modelling is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency of Spanish and knowledge of English is required.

NOTE: ‘’Advanced knowledge’’ equals a rating of ‘’fluent’’ in all four areas (speak, read, write, and understand) and ‘’intermediate knowledge’’ equals a rating of ‘’confident’’ in two of the four areas.

Special Notice- This position will be temporarily vacant for a period of eleven (11) months. - While this temporary assignment may provide the successful applicant with an opportunity to gain new work experience, the selection for this position is for a limited period and has no bearing on the future incumbency of the post. - Appointment for positions in the General Service category is done on a local basis. Applicants shall be recruited in the country or within commuting distance of the office, irrespective of nationality and length of time the candidate may have been in the country. Applicants will be responsible for any expenses incurred in taking the relevant examinations at the duty station, and of any costs related to traveling and relocating to the duty station in the event of an employment offer. - A current staff member who holds a fixed-term, permanent or continuing appointment may apply for temporary positions no more than one level above his or her current grade. - A staff member holding a temporary appointment in the General Service or related categories may only apply to positions within those categories.
