Org. Setting and Reporting

The Department of Safety and Security (UNDSS) is responsible for providing leadership, operational support and oversight of the United Nations security management system (UNSMS) globally. As a global leader in security risk management principles, UNDSS enables the safe and effective delivery of United Nations programmes and activities in the most complex and challenging environments, while maximizing precious resources. To this end, the work of the Department is aligned under a clear mission, to enable United Nations system programme activities through trusted security leadership and solutions. The post is located in the Threat and Risk Assessment Service of the Division of Regional Operations (DRO). The incumbent will report to the Chief of Threat and Risk Assessment Service. Responsibilities

The incumbent will be responsible for the following duties: 1. Administrative support in New York for all training interventions conducted by DSS Threat and Risk Assessment Service. This entails: a. Compilation of training schedules. b. Distribution of notices and invitations for course and workshops. c. Correspondence with course candidates and nominating offices. d. Development of a variety of participant lists, tables and spreadsheets for use on courses and workshops. e. Maintenance of course participant lists and training contact lists. f. Editing and formatting of training manuals and exercise material. g. Development of training administrative instructions. h. Preparation of travel requests and making of travel reservations. i. Finalization of all travel documentation including claims on return from courses and workshops. j. Maintenance of training records on paper and electronically after completion of courses and workshops. 2. Administrative support at training venues for all training interventions conducted by DSS Threat and Risk Assessment Service. This entails: a. Daily administration of participants including attendance record-keeping. b. Preparation and distribution of daily programmes. c. Maintenance of electronic and paper records of all course and exercise material used on courses and workshops. d. Administrative assistance to participants regarding travel arrangements. 3. Logistic support both at Headquarters and at training venues for all training interventions conducted by DSS Threat and Risk Assessment Service. This entails: a. Communication with training venue to arrange venue requirements. b. Arrange venues and classroom aids. c. Preparation of training presentations and aids under supervision of course facilitators. d. Organize and manage printing and binding of training materials. 4. The Training Assistant will also be responsible to perform other general administrative tasks in TRS as required and in the absence of other administrative staff normally responsible for those duties.

Work Experience

A minimum of 3 years of progressively responsible experience in the field of general administration, office support, or related area is required. The minimum years of relevant experience is reduced to one (1) year for candidates who possess a first-level university degree or higher. Experience within an international organization is desirable. Experience in providing administrative support for a security service or security operations is desirable. Experience using Microsoft applications, such as MS Word, Excel, PowerPoint and SharePoint, as well as drafting, formatting and editing documents in these applications is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage. Note: Fluency equals a rating of "fluent" in all four areas (speak, read, write and understand). Knowledge of equals a rating of "confident" or "fluent" in at least two of the four areas.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Appointment or assignment against this position is for an initial period of one year.
