Result of Service The incumbent will be responsible to provide effective and efficient support to the Office of Resource Management and the Service Management Unit.

Expected duration 6 Months

Duties and Responsibilities Under the direct supervision of the Administrative Officer at the Office of the Resource Management and Service Development Division (ORMSDD) and Officer in Charge of the Service Management Unit (SMU), the Team Assistant will be responsible to perform the following duties:

  • Performs a wide range of office support and administrative tasks.
  • Assists in researching, extracting, compiling, processing and manipulating data sets, derived from a variety of sources from various sources, for reports, work plans, briefings, meetings etc.
  • Proofreads documents and edits texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format.
  • Responds or drafts responses to routine correspondence and other communications.
  • Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate stakeholders.
  • Reviews, records, distributes and/or processes mail and other documents, including Joint Inspection Unit annexes and surveys; follows-up on impending actions.
  • Provide support on oversight functions to the Office of the Director during audit exercises.
  • Follow-up with admin functional areas on required actions to act on open audit recommendations.
  • Coordinate with service providers to provide timely input on billing information and ensure accurate submissions.
  • Create service/sales orders and follow-up on their approval and act as back up for core staff performing Umoja transactional functions in cost recovery.
  • Supports in drafting the Standard Operating Procedures for all Service Management Unit (SMU) services and workflows.
  • Supports SMU in identifying and assessing customers’ needs to maintain client satisfaction.
  • Provide support in drafting client satisfaction survey questions, developing and disseminating the survey and drafting the final report.
  • Provides accurate, valid and complete information through the correct channels to support SMU clients.
  • Performs other duties as assigned.

    Qualifications/special skills A high school diploma or related area is required.

All candidates must submit a copy of the required educational degree. Incomplete applications will not be reviewed. A minimum of 4 years of professional work experience in administrative, coordination and general office support is required.

Languages English and French are the working languages of the United Nations Secretariat; and Arabic is a working language of ESCWA.

For the post advertised, fluency in English is required. Knowledge of Arabic language is desirable.

Note: “Fluency” equals a rating of ‘fluent’ in all four areas (speak, read, write, and understand) and “Knowledge of” equals a rating of ‘confident’ in two of the four areas.
