Result of Service The objective of the contract is to provide assistance to the Administrative Officer, undertake a variety of financial transactions, assist with the preparation and organization of meetings and perform other duties within the Admin Team.

Duties and Responsibilities The United Nations Environment Programme (UNEP) is the United Nations systems designated entity for addressing environmental issues at the global and regional levels. Its mandate is to coordinate the development of global consensus on environmental issues by keeping the environment under review and bringing emerging issues to the attention of governments and the international community for action.
The Caribbean Regional Co-ordinating Unit (CAR/RCU) was established in 1986 in Kingston, Jamaica and is the Secretariat for the Convention for the Protection and Development of the Marine Environment of the Wider Caribbean Region (Cartagena Convention) and the Caribbean Environment Programme (CEP). The Cartagena Convention, which has been ratified by 26 of 28 UN Member States in the Wider Caribbean Region, serves as an overarching governance framework for environmental protection and sustainable development in the region. The Convention is the only legally binding agreement of its kind in the region and is supported by three Protocols on Oil Spills, Specially Protected Areas and Wildlife (SPAW) and Pollution from Land-Based Sources and Activities (LBS). The Cartagena Convention Secretariat convenes biennial Scientific and Technical Advisory Committee (STAC) meetings in preparation for its Intergovernmental Meeting and Conferences of Parties (COP), where Contracting Parties approve biennial work plans and budgets.
The individual contractor will work under the direct supervision of the Administrative Officer.
(1) Completion of Umoja training and expanded practical knowledge of ERP system.
- Successful completion of Umoja courses and assignment of necessary roles by the SLO
- Review of computer based training material, including Microsoft Stream and the Knowledge Gateway
(2) Undertaking a variety of standard financial transactions and other reports, work orders, etc., maintaining various tables and databases. Performing data entry and extraction functions
- Review and tracking of transactions
- Update of SharePoint tracking sheets and files
- Reconciliation of accounting transactions and reports
- Respond to basic finance queries
- Generate or undertake initial review of financial/statistical reports.
- Ensure proper use of UN exchange rates
- Effective use of T-codes and processing of basic transactions in Umoja (SCs, iNeed tickets).
- Ensure compliance with UN Financial Rules and Regulations
(3) Assisting with the preparation and organization of meetings, including secretarial/conference services. Supporting logistic arrangements in conjunction with intergovernmental meetings, meetings of the Contracting Parties and other meetings of Convention.
- Support the processing of meeting requirements including invitations, travel tracking, procurement needs and shipping.
- Support virtual meetings
- Successful coordination with various stakeholders including interpreters, participants, focal points
- Arrange refreshments
(4) Provide assistance to the Administrative Officer
- Assists with the collection and analysis of data as well as preparation of data presentations.
- Assist with the preparation of reports, including the compilation of statistical data
- Proof read documents for accuracy

Qualifications/special skills Qualifications
High school diploma required.
Technical training in accounting and finance or certification in a related area is required.
A minimum of three years of experience in accounting, finance, operational support or a related area is required.
Experience with Microsoft Office (Excel, Word, PowerPoint) is required.
Experience gathering and analyzing data is desirable.
Experience in programme or project administration is desirable.

Languages English and French are the working languages of the UN Secretariat. For the post advertised, fluency in English is required. Knowledge of Spanish is desirable.
