Org. Setting and Reporting This position is located in the Planning, Coordination and Meetings Section (PCMS), and is operationally part of the Office of the Chief (OC), Conference Management Service (CMS), Department for General Assembly and Conference Management in Vienna. CMS operates administratively under the Division for Management (DM) at the United Nations Office at Vienna (UNOV). The incumbent will be under the direct supervision of the Deputy Chief, CMS and the overall guidance of the Chief, CMS.

Responsibilities Within assigned authority, the incumbent will be responsible for the following specific duties:

  • Perform a wide range of office support and administrative functions; provide direct assistance to the Chief and Deputy Chief of CMS.
  • Respond or draft responses to routine correspondence and other communications; use standard word processing package to produce a wide variety of large, complex documents and reports.
  • Monitor processes and schedules related the unit’s outputs, products, tasks, etc.; where applicable, assist in the verification of receipt and accuracy of requisite documents, approvals, signatures, etc. to ensure compliance with relevant requirements.
  • Research, compile and organize information and reference materials from various sources for reports, work plans, studies, briefings, meetings/conferences, etc.
  • Generate a variety of standard statistical and other reports using various databases.
  • Proofread documents and edit texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format.
  • Screen phone calls and visitors; respond to moderately complex information requests and inquiries (e.g. answers requests requiring file search, etc.), and as necessary, refer inquiries to appropriate personnel for handling.
  • Provide secretarial, administrative and logistics support (e.g. arrangements for meetings and events, reservations, office supplies, taxi bill claims, visa applications, etc.)..
  • Maintain calendar/schedules for both managers and the Office of the Chief; review weekly calendar of meetings and identify high-level meetings; monitor changes and communicate relevant information to appropriate staff inside and outside the immediate work unit.
  • Review, record, distribute and/or process mail and other documents; follow-up on impending actions.
  • Update and maintain large distribution lists; monitor, prepare and distribute various materials, reports; handle arrangement for printing as necessary.
  • Maintain files (both paper and electronic) and databases for work unit.
  • Assist with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making using appropriate technology and software.
  • Assist with visualizations and updating information material such as web pages or brochures.
  • Perform other work-related duties as assigned.

Education High school diploma or equivalent is required.

Job - Specific Qualification Passing the Global General Service Test (GGST) is a prerequisite, i.e. is required, for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Applicants who have not passed the GGST at the time of application may be invited for the test after submitting an application.

The GGST is a proctored entry-level examination at the duty station. Any travel expenses incurred in order to take the examination are the responsibility of the candidate and will not be reimbursed by the Organization.

Having passed the Administrative Support Assessment Test [in English] at the United Nations headquarters, Economic Commission for Africa, Economic and Social Commission for Western Asia, United Nations Office at Geneva, United Nations Office at Vienna, International criminal tribunal for Rwanda or International Criminal Tribunal for the former Yugoslavia may be accepted in lieu of the GGST.

Work Experience A minimum of three years of progressively responsible experience in conference services, administrative support in a front office or a related area is required.

Work experience with applications for communication and collaboration, spreadsheets and web-based applications is desirable.

Work experience in an international setting is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Knowledge of another official United Nations language is an advantage.

Assessment Evaluation of qualified candidates may include an assessment exercise and a competency-based interview.

Special Notice This position is expected to be vacant six months or longer and the selection and extension of appointment of the selected candidate will be contingent on the return of the incumbent who maintains a lien against this post.

If the selected candidate is an internal staff member of the UN Secretariat, the selection will be recorded as a temporary assignment.

While this temporary assignment may provide the successful applicant with an opportunity to gain new work experience, the selection for this position is for a limited period and has no bearing on the future incumbency of the post.

Staff members of the United Nations common system organizations who will reach the mandatory age of separation or retirement within the duration of the current temporary need period are not eligible to apply.
