Result of Service Under the direct supervision of the Treasurer of the Staff Council, in coordination with the Vice-Chairperson, and under the overall guidance and supervision of the ESCWA Staff Council Chairperson and ESCWA Stories Team leader, the team assistant will:

- Perform a wide range of office support and administrative functions.

- Facilitate the internal team meetings of the Staff Council and the ESCWA Stories Team, take notes, and prepare minutes for those meetings when required.

- Coordinate with selected service units.

- Maintain files (both paper and electronic) for the ESCWA Staff Council and the ESCWA Stories Team.

- Draft routine correspondence to respond to queries of ESCWA staff members with respect to relevant administrative and other matters.

- Take responsibility for developing own skills, knowledge, and competencies through internal performance planning and training.

Duties and Responsibilities Background:

The incumbent of the post shall serve as a team assistant for the Staff Council of the United Nations Economic and Social Commission for Western (ESCWA) Asia and for the ESCWA Stories Team.

A- The Staff Council’s duties of care toward its constituents are as follows:

- To ensure that the working conditions enjoyed by the staff of ESCWA conform to the principles laid in the Charter of the United Nations and to the provisions of all rules and regulations applicable to members of the United Nations Secretariat and, to ensure that these conditions contribute to the most efficient discharge of the functions assigned to the staff.

- To safeguard the rights and promote the interests, welfare, and security of all members of the staff of ESCWA and to ensure that the staff members be treated on an equal basis with Headquarters staff in all matters relating to their conditions of service.

- To ensure services of all kinds in the interest of the staff.

- To apply a duty of care, on behalf of its constituents, to the community and the ESCWA host country in general as inspired by Human rights principles and the UN Charter.

B- ESCWA Stories Team was established by the ESCWA Executive Secretary to mainstream the Sustainable Development Goals in the Member States through the production and dissemination of a comic book including stories on the SDGs. The Team makes school visits and organizes events for the promotion of the comic book and its objectives. Against this background, the ESCWA Staff Council and the ESCWA Stories Team are seeking the services of a local team assistant (Individual Contractor) to assist with the below duties and responsibilities.

Duties and responsibilities:

A- For the Staff Council:

- Initiate, review, process, and follow-up on actions related to the Council’s Gift Shop, including inventory control; anticipating needed supplies; placing and expediting orders for supplies, and verifying receipt of supplies.

- Support the Staff Council in several projects and activities including fundraising activities related to projects of humanitarian and/or emergency matters (Shortage of Medicine, financial support to elderly/poor people), interacting with national authorities and stakeholders, and international agencies for fundraising programmes, among others.

B- For the ESCWA Stories Team:

- Monitor processes and schedules related to ESCWA Stories projects’ outputs and deliverables, and update the project lifecycle portal as relevant.

- Communicate with relevant staff to arrange for vehicle transportation to conduct visits to schools involved in the ESCWA Stories project, and get the required clearances when needed.

Qualifications/special skills A first-level degree in management, business administration, sociology, or other related academic background is required. A Master's degree is desirable.

All candidates must submit a copy of the required educational degree. Incomplete applications will not be reviewed. At least 8 years of proven work experience in general office support, administration, or related area is required.

Languages English and French are the working languages of the United Nations Secretariat; and Arabic is a working language of ESCWA.

For this position, fluency in Arabic and English is required. Knowledge of French is desirable.

Note: “Fluency” equals a rating of ‘fluent’ in all four areas (speak, read, write, and understand) and “Knowledge of” equals a rating of ‘confident’ in two of the four areas.
