Org. Setting and Reporting The position is located in the UNODC Regional Office for Eastern Africa (ROEA) in Nairobi, Kenya, Division for Operations (DO), United Nations Office on Drugs and Crime (UNODC). The incumbent will be working under the general guidance of the UNODC ROEA Representative and the direct supervision of the Programme Management Officer heading the Transnational Organized Crime and Illicit Trafficking Programme for Eastern Africa, and in close cooperation with the Associate Crime Prevention and Criminal Justice Officer.

Responsibilities Within assigned authority, the incumbent will be responsible for the following duties: •Perform a wide range of office support and administrative functions. •Draft responses to routine correspondence and other communications. •Assist in the coordination of project planning and preparation work; monitor status of project proposals and receipt of relevant documentation for review and approval. •Assist in the recruitment of consultants and individual contractors. •Compile, summarize, and present basic information/data on specific programmes/project and related topics or issues. •Review, record, distribute and/or process mail and other documents; follow-up on impending actions. •Perform general administrative tasks (e.g. leave and attendance recording, arrangements for meetings and other events, reservations and budget follow-up.), and prepare and/or process administrative requests/documents (e.g. requisitions, purchase orders, travel requests, contracts, expenditure authorizations and visa applications). •Monitor processes and schedules related to day to day programme activities, outputs, products and tasks; where applicable, assist in the verification of receipts and accuracy of requisite documents, approvals and signatures to ensure compliance with relevant legal, financial and other requirements. •Research, compile and organize information and reference materials from various sources for reports, work plans, studies, briefings and meetings/conferences. •Generate a variety of standard statistical, other reports and work orders, using various databases. •Proof-read documents and edit texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format. •Provide administrative and logistical support to meetings, boards, committees, conferences and other events. •Maintain calendar/schedules; monitor changes and communicate relevant information to appropriate staff inside and outside the immediate work unit. •Perform data entry and extraction functions. •Maintain files (both paper and electronic) and databases for work unit. •Provide guidance to less experienced staff on general office processes, procedures and computer applications. •Perform other work related duties as assigned.

Education High school diploma or equivalent is required.

Work Experience A minimum of three years of experience in programme or project administration, conference management, logistics, and technical cooperation or other related discipline is required. Experience with an ERP (Enterprise Resources Planning Software) system is required. Working experience with SAP (System, Applications & Products)/Umoja in data processing, in particular, in the area of travel is highly desirable Experience in assisting capacity building events and expert group meetings is highly desirable. Experience in working with a recruitment system (e.g. Inspira) is desirable. Work experience in an international organization or within the United Nations system is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Knowledge of another official United Nations language is an advantage

Other Skills and Requirements Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Applicants who have not passed the GGST at the time of application may be invited for the test after submitting an application. The GGST is a proctored entry-level examination at the duty station. Any travel expenses incurred in order to take the examination are the responsibility of the candidate and will not be reimbursed by the Organization. Having passed the Administrative Support Assessment Test [in English] at the United Nations headquarters, Economic Commission for Africa, Economic and Social Commission for Western Asia, United Nations Office at Geneva, United Nations Office at Vienna, International criminal tribunal for Rwanda or International Criminal Tribunal for the former Yugoslavia may be accepted in lieu of the GGST.
