Overview

Provide administrative, logistical, clerical and operational support to the Communication Unit.

You have:

  • High school diploma with three years of relevant experience; or, Bachelor's degree in business administration or related fields.
  • Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook.
  • Attention to detail, ability to organize paperwork in a methodical way.
  • Prior work experience with international humanitarian organizations, non-government or government institutions/organizations in a multi-cultural setting is an advantage.
  • Fluency in English and French is required (oral and written).

Contract

This is a G-3 contract. This kind of contract is known as General Service and related categories. It is normally only for nationals. It usually requires 3 years of experience, depending on education. More about G-3 contracts.

Established in 1951, the International Organization for Migration (IOM) is the leading intergovernmental organization in the field of migration and works closely with governmental, intergovernmental, non-governmental, private sector and community partners to promote humane and orderly migration for the benefit of all.

In Cameroon, IOM implements a broad portfolio of programmes related to migration governance, humanitarian response, stabilization, displacement tracking, climate mobility, return and reintegration, health, protection, labour migration, border management, and community resilience. Effective communication, stakeholder engagement, and public visibility are essential to strengthening institutional credibility, fostering public understanding, promoting accountability, and ensuring support from government counterparts, donors, beneficiaries, media, and the general public.

Under the overall supervision of the Chief of Mission and the Head of Programmes, and the direct supervision of the National Project Officer (Outreach and Visibility), the Administrative Assistant – Communication will provide administrative, logistical, clerical and operational support to the Communication Unit. The incumbent will assist in the organization of communication activities, events, meetings, visibility initiatives, digital content management, media monitoring, record keeping, and administrative coordination to support the efficient implementation of communication and public information activities throughout the Country Office.

Qualifications

EDUCATION

  • High school diploma with three years of relevant experience; or,
  • Bachelor's degree in business administration or related fields from an accredited institution with one year of relevant professional experience.

EXPERIENCE

  • Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook;
  • Attention to detail, ability to organize paperwork in a methodical way;
  • Discreet, details and clients-oriented, patient and willingness to learn new things; and,
  • Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.

SKILLS

  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook and Teams).

Responsibilities

  1. Type, format and draft routine correspondence; collate tables, reports, presentations, publications, and other documentation;
  2. Receive, screen and direct telephone calls and visitors; respond to routine internal and external enquiries and/or refer to appropriate contacts /units;
  3. Enter, retrieve, structure and update selected information and data from various sources (e.g. Intra-/Internet, office files, etc.); present results in standard format;
  4. Set up and maintain office files and reference systems according to standard procedures;
  5. Initiate, view and track a variety of administrative transactions in the computerized financial / travel / human resources systems;
  6. Support the organization and administration of meetings, workshops and events (e.g. arranging for meeting rooms and other facilities).
  7. Assist with arranging for travels: organize transport, logistics, accommodation, documents;
  8. Ensure availability of office supplies and appropriate maintenance of office equipment; and,
  9. Perform such other relevant duties as may be assigned.
