Responsibilities

  1. Role and responsibilities

The following is a brief description of the role.

Generic responsibilities

These responsibilities shall be the same for all positions with the same title. The responsibilities shall be short and essential. Details belong in the Work- and Professional Development Plan.

  1. Welcome visitors to the NRC office, and direct them accordingly
  2. Adhere to NRC policies and procedures
  3. Supervise cleaning staff and ensure order and cleanliness of the Lashio office
  4. Receive, distribute and register faxes, mails, documents and reports
  5. File administrative documents according to procedures
  6. Ensure that utility bills (e.g. electricity, water, internet) are paid on time
  7. Facilitate maintenance of NRC Office and NRC warehouse premises
  8. Assist in monthly staff update data preparation and some HR tasks
  9. Assist Field Office Coordinator at any activities related with Government authorities and Ministries concerned, in order to accomplish the NRC activities in line with time frame.

Specific responsibilities

These responsibilities shall be adapted to the particularities of the job location and context, phase of operation, strategic focus and type of programme intervention. This section shall be revised whenever a new employee is hired or the context changes significantly.

Administration

  • Ensure availability of standard NRC forms (updated version) in at office.
  • Ensure the office supplies needs for Taunggyi office (stationaries, kitchen supply etc) are efficiently planning, purchasing, stocking, documentation and issuing.
  • Ensure to support travel information inquiring, arranging and purchasing of the flight tickets, transport and accommodations for NRC business purpose travel of the staff and visitors’ accordance with NRC procedures.
  • Provide necessary assistance and support in catering & facilities arrangement of training, events, workshops etc organize at the office.
  • Ensure timely payment of all office utilities billing (ie: internet, water, electricity etc).
  • Assist in the ID card preparation, stamp preparation, business card preparation required by Admin/HR department.
  • Ensure to assist the maintenance of office facilities and equipment are in well operating and functioning.
  • Assist Field Office Coordinator for regular filing and documentation of office administrative related documents in hard and soft copies properly on designated TeamSite and filing areas.
  • Maintain NRC archive and NRC computerized filing tree for administration section according to NRC guidelines.
  • Supervised cleaners to ensure that office and guesthouses cleanliness and hygiene standards are maintained.

Human Resources

  • Monitor daily attendance lists and leave record of personnel in Taunggyi office, assist with necessary preparations and process with attendance list as donor requirements.
  • Any other duties assigned by line manager.

Logistics

  • Assist the logistic officer in procurement process of goods and services procurement to align with NRC procurement guidelines and keep the necessary documents.
  • Receive, store, and dispatch materials and supplies according to NRC procedures.
  • Properly keep, maintain and filing about the stock and warehouse related documents (eg: stock cards, stock request form, bin cards, for stock in/out record etc.) accordance to NRC guideline, procedures and compliance.
  • Ensure availability of storage space and maintain orderliness, cleanliness and safely manage the warehouse/storeroom.
  • Ensuring that only authorized staff are allowed to enter the warehouse/storeroom.
  • Prepare monthly stock report as per NRC reporting guideline/template and submit to logistic officer on time.
