NRC Geneva is looking for a dynamic and service minded intern to join the Support team as a receptionist. The Receptionist - Administrative & Logistics Intern at NRC Geneva will be part of the Support team supporting ca. 70 staff across NRC Geneva https://www.nrc.no/, the Internal Displacement Monitoring Centre http://www.internal-displacement.org/ and ACAPS https://www.acaps.org/ as well as hosted sub-tenant organisations working from our offices at 1-3 rue de Varembé, Geneva. In order to qualify for this internship you must be enrolled in a course of study and pursuing this internship as a mandatory or optional internship leading to a degree. Your school or university must be willing to sign a tri-partite agreement with NRC Geneva.

Role and responsibilities

Reception duties

  • Answer main line telephone, forward e-mails to staff, manage general correspondence by e-mail in French and English;
  • Manage in and out postal and courier services;
  • Draft routine correspondence in French and English;
  • Welcome and assist visitors to the office, and organise deliveries;

Administration

  • Assist in the procurement process for diverse purchases such as office equipment or furniture;
  • Assist in purchasing of consumable items for the office;
  • Assist with keeping updated asset lists / inventory of all purchased non-consumable materials;
  • Assist with recruitment processes;
  • Administrate office keys, access badges and other processes or systems connected to office facilities;
  • Prepare invoices and process payments;
  • Provide logistical support for internal and external events or seminars, including: organising invitations; booking meeting rooms, hotels and catering services; packaging and shipping of training material etc.;
  • Other additional administration tasks, as requested.

Professional competencies:

  • Experience in the management of a reception and the administration of an office, including management of relations with suppliers, control of invoices for execution of payments and other logistical aspects;
  • Organisational and computer skills, including proficiency in Word, Excel, and PowerPoint;
  • Ability to handle multiple tasks simultaneously;
  • Self-motivated and with a positive attitude;
  • Conscientious, collegial and service oriented;
  • Flexible, innovative and effective in working collaboratively as part of a multicultural team.

Languages

  • Fluency in written and spoken English.
  • Operational level of written and spoken French (minimum B2).

Le rôle de Réceptionniste – Stagiaire administratif & logistique fait partie de l'unité de soutien au NRC Genève qui assure quotidiennement un service auprès de 70 employés et le bon fonctionnement de 3 organisations à Genève. Le NRC lui-même https://www.nrc.no/, mais aussi le Centre d’analyse des déplacements internes http://www.internal-displacement.org/ et de l'ACAPS https://www.acaps.org/ ainsi que d’autres organisations sous-locataires travaillant au sein de nos bureaux au 1-3 rue de varembé, Genève.

Rôle et responsabilités

Fonctions de réception

  • Répondre au téléphone principal, transmettre les courriels au personnel, gérer la correspondance générale par courriel en français et en anglais;
  • Gérer les services postaux et de courrier entrant et sortant;
  • Rédiger la correspondance courante en français et en anglais;
  • Accueillir et assister les visiteurs au bureau et organiser les livraisons;

Administration

  • Aider au processus d'approvisionnement pour divers achats tels que l'équipement de bureau ou le mobilier ;
  • Aider à l'achat d'articles consommables pour le bureau ;
  • Aider à tenir à jour les listes d'actifs / l'inventaire de tous les matériaux non consommables achetés ;
  • Aider aux processus de recrutement ;
  • Administrer les clés de bureau, les badges d'accès et autres processus ou systèmes connectés aux installations de bureau ;
  • Préparer les factures et traiter les paiements ;
  • Fournir un soutien logistique pour des événements ou séminaires internes et externes, notamment : organiser des invitations ; réservation de salles de réunion, hôtels et services de restauration; emballage et expédition du matériel de formation, etc. ;
  • Autres tâches d'administration supplémentaires, comme demandé.

Compétences professionnelles :

  • Expérience de la gestion autonome d’une réception et l’administration d’un office/bureau, dans les fonctions d’accueil, de gestion des relations avec les fournisseurs, de contrôle des factures pour exécution des paiements et autres aspects logistiques;
  • Compétences organisationnelles et informatiques, incluant une maitrise complète de Word, Excel et PowerPoint ;
  • Capacité à gérer plusieurs tâches simultanément ;
  • Motivé et avec une attitude positive ;
  • Consciencieux, collégial et axé sur le service ;
  • Flexible, innovant et efficace pour travailler en collaboration au sein d'une équipe multiculturelle.

Langues :

  • Maîtrise de l’anglais écrit et parlé (langue maternelle ou de travail courante)
  • Niveau opérationnel de français écrit et parlé (B2 minimum).
