Danish Refugee Council (DRC) is a leading protection agency with a mandate to protect, advocate and promote durable solutions for displacement affected populations. DRC has been operating in Ukraine since 2014, currently DRC employs over 700 staff in Ukraine and will continue significant scale-up in 2024 to implement emergency response in the Protection, Livelihoods, Shelter/NFIs and Humanitarian Disarmament and Peacebuilding (humanitarian mine action) sectors, using direct interventions, support to duty bearers and civil society organizations (CSOs), and partnerships with CSOs. DRC will continue and adapt its durable solutions portfolio to the evolving context.

DRC is looking for Support Service Assistant to be based in in Zaporizhzhia.

This position is open for Ukrainian nationals only.

Main Responsibilities:

  • Solving administrative tasks in accordance with DRC's internal regulations and procedures.
  • Solving tasks in matters related to the rental of real estate, including the preparation of agreements with landlords and solving problems related to the rental of office and guest apartments.
  • Providing necessary administrative support to program staff regarding office maintenance / IT equipment / power generators (if available). Be able to support for travel arrangements, booking tickets and accommodation if the administration officer from Dnipro office is temporarily unavailable.
  • Effective work with fleet, finance, procurement, HR, logistics, and program departments to prepare for timely procurement of necessary materials and services and the paperwork.
  • Verification and entry of bank transactions into the cashbook, Dynamics (ERP system).
  • Maintaining Travel Tool, checking documents for business trips.
  • Developing new excel tools if needed and improving current excel tools, updating guidance etc.
  • Support of the Area Support Service Manager activities and support team leaders in matters of administrative work / financial / HR and fleet assistance work.
  • Monitoring compliance with the organization's international code of conduct, internal and donor instructions/procedures regarding DRC procurement, to avoid conflicts of interest.

Required experience and competencies:

  • Secondary or higher education.
  • Fluency in Ukrainian or Russian, English will be an asset.
  • Minimum of 2 years of experience in administration or equivalent.
  • MS Excel and Word skills, experience with ERP systems is desirable.
  • Analytical mindset, attention to detail, communicability, financial literacy.
  • Experience working in an NGO will be an advantage.
  • Commitment to learning and implementing organizational policies and procedures.

  • Contract: Open-ended contract upon successful completion of the three-month probation period.
  • Duty station: Zaporizhzhia.
  • Start date: As soon as possible.
  • Salary and conditions in accordance with Danish Refugee Council’s Terms of Employment for DRC National Staff.
