This position is located in the Supply Unit of Lebanon Country Office that handles a significant volume of procurement and distribution of programme supplies and services. The Supply and Logistics Assistant reports to the Supply and Logistics Manager.

This position provides administrative support to the maintenance and monitoring of supply and logistics relevant information and data. It hence supports the capacity and streamlining of supply and logistics related processes.

How can you make a difference?

1. Reviews incoming demand/sales orders for completeness and appropriateness of specifications/Terms of Reference. 2. Drafts tender documents (Requests for Quotations, Invitations to Bid, Requests for Proposals), and assists in the implementation of the tender process. 3. Maintains and updates supplier database. 4. Supports sourcing of relevant suppliers of goods and services, ensures completeness of suppliers’ profiles documentation and communicates with suppliers with regards to adherence to timelines during tendering process, etc. 5. Arranges and attends site visits to suppliers to confirm their compliance with UNICEF rules and regulations. 6. Supports evaluations of offers through e.g. preparation of tabulation sheets. 7. Maintains and files appropriate documentation of processes. 8. Participates in regular warehouse physical inventory counts and prepares inventory reports. 9. Develops or adjusts existing contract and LTA monitoring tools by utilizing VISION created reports. 10. Monitor contract and LTA status and provides analysis for proposed follow up actions. 11. Receives and distributes invoices to relevant programs, monitors invoicing process related to supply function and monitors invoice process with the goal of adherence by all parties. 12. Provides through monitoring and analysis of relevant VISION report support to the monthly clearing of Goods in Transit account. 13. Assists in the development of workflows to be integrated in supply and logistics related SOPs. 14. Support the further development of the UNICEF LCO Enterprise Content Management website through identification of most relevant functionality as well as information to be included linked to supply and procurement issues. 15. Assist with technical tasks in support of supply and logistics unit when required. 16. Provide admin support to the supply and logistics unit 17. Support in the travel arrangements for supply and logistics unit 18. Follow up on distributions with beneficiaries to ensure the items received match with the distribution plan and waybills

To qualify as an advocate for every child you will have…

  • Completion of secondary school education, preferably supplemented by a training in procurement, planning and/or negotiation skills, certification in supply chain, procurement or logistics would be an advantage.
  • A minimum of 4 years of progressively responsible clerical and administrative work; Experience in Supply & Procurement is an advantage.
  • Proficiency in Microsoft Office package, in particular Word, Excel and PowerPoint, is required.
  • Sound knowledge of Excel based analytical tools and minimum basic comprehension of SAP are an advantage.
  • Developing country work experience and/or familiarity with emergency is considered an asset.
  • Fluency in English and Arabic is required. Knowledge of French is an asset.
