Org. Setting and Reporting This position is located in the Material Management Team of the Travel and Transportation Section (MMT/TTS) in New York. The incumbent reports directly to the General Foreman and under the overall direction of the Chief of the Travel and Transportation Section.

Responsibilities Within delegated authority, the Supply clerk at this level will carry out the following duties:

•Inspects incoming orders to assure presence of invoice material. •Considers future usefulness of returned goods, and determines stock to follow established supply requirement to replenish stocks based on past usage and anticipated future demand. •Ensures that property management and inventory control policies and procedures are adhered to for all deliveries of goods/materials/equipment at UN Headquarters including direct deliveries from vendors to end-users at Headquarters. •Prepares requisitions and enters data to initiate requisition process. •Enters and updates data on all incoming non-expendable UN property Updates the Property Record Custodians database according to Departmental requests. •Participates in periodic physical inventories of UN equipment and stock items to ensure accuracy of serial and decal numbers, stock descriptions. •Coordinates delivery of accountable property. •Arranges contents of logistics stocking and receiving areas in a manner that maintains a safe working environment. •Verifies, records and updates the receipt of goods/materials into relevant database. •Designs and maintains spreadsheet reports including monthly statistics and databases using various software platforms in accordance with instructions received from the General Foreman. •Proposes, develops and implements improvements in procedures to automate and expedite processing of inventory. •Performs a wide range of administrative duties relating to supplies and inventory activities including responding to queries in relation to the Team’s policies and procedures, resolving problems within area of responsibility and consulting relevant documentation and individuals to provide information. •Drafts routine correspondence for signature by the General Foreman when requested and register and file incoming correspondence. •Maintains a proper filing system. •Performs other duties as required.

Education High School diploma or equivalent.

Work Experience A minimum of three years work experience in general office support or related areas is required. Proficiency in Microsoft applications (such as Word, Excel, Access, etc.) and web-based applications is required. Experience working in inventory or warehouse management is desirable. Experience in Enterprise Resource Planning system or equivalent is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of French is an advantage.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by a Competency Based Interview.

Special Notice Appointment or assignment against this position is for an initial period of one year.

This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country. Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat.
