ABOUT THE JOB

Overall responsibilities is to undertake and monitor procurement activities associated with DRC operations to ensure that all procurement matters are dealt with in accordance with organizational standards and policies to support the effective operation of the DRC Kabul Area Office Supply Chain Department by coordinating all local national procurement relevant donor requirements, and in the spirit of obtaining the best Value for Money (VFM), this includes weekly, monthly activity reports to the immediate supervisor..

Responsibilities:

  • Ensure that all procurement procedures are effectively followed in compliance with the DRC Supply Chain Operation Handbook and relevant donor requirements
  • Support the supply chain department with completing multiple procurements to deadlines and ensuring all relevant paperwork is completed.
  • Organizes events, arranges lunch, refreshment and all required arrangement with vendors and technical team.
  • Organize regular local market surveys and ensure the vendor database and vendor file and other supplier information is kept up-to-date.
  • Check payment request and ensure attached procurement files are complete, correct, and have the relevant signatures before they are submitted to the finance department for payment.
  • Focus on transparency and accountability of the organization

Purchasing

  • Ensure that Order Requests are correctly filled the PRs tracking sheet captures all relevant information and dates., and it is authorized correctly by authorized person.
  • Collect quotations from market in line to DRC operation handbook.
  • Liaise closely with the supply chain team to ensure that the PR tracking sheet and DRC dynamic is updated daily and that the report is available upon request.
  • Maintain honesty and integrity when purchasing and collecting quotations from suppliers.
  • Assist in drafting bidding documents, evaluation reports and contract award submissions, ensuring consistency in format and content.
  • Preparing of Purchase Orders, Contracts, or their Amendments.
  • Process invoices for goods and services delivered ensuring accuracy and completeness of documentation and timely payment.
  • Prepare reports, tables, charts etc to supervisor and DRC Kabul area office management upon need.
  • Knowledge of ERP system, particularly the supply chain modules (P2P).
  • Travel to Ghazni Province to support the local procurement requirement for DRC Ghazni sub-office.

Filing

  • Support with providing accurate and updated procurement documentation in case of audit
  • Ensure information flow with relevant departments.
  • Develop standard filing system and tracking system of all purchases in accordance with filing SOP.
  • Other duties as requested by line manager.

To be successful in this role you must have:

Experience and technical competencies:

  • University degree in economics, finance, or other degree deemed similar

Education/qualifications:

  • Two Years’ Experience in Supply Chain-Procurement field

    Languages:

  • English Dari and Pashtu
