Overview

Assist in supply management and inventory oversight

You have:

  • Bachelor degree or equivalent is required.
  • High School Diploma or equivalent in administration and logistics background.
  • At least four years of relevant experience in logistics and supply management is required.
  • Fluent in English is mandatory.
  • Knowledge of UMOJA, Galileo and BO (UN Inventory Management Systems) is an advantage.
  • Driving license is required.

Contract

This is a UNV International Specialist contract. This kind of contract is known as International UN Volunteer. It is normally internationally recruited only. More about UNV International Specialist contracts.

Eligibility criteria

Minimum age: 25 years old. Nationals of the country of assignment are not eligible, except the assignments in Headquarters duty stations.

Description of task

Under the direct supervision of the Chief Life Support Section, the incumbent will undertake the following tasks:

  • Assists Chief Life Support Section in implementing supply related services to the Mission, to include rations, POL and gen supply activities.
  • Assists and coordinates on-the-job training of Military contingents, and new staff in the use and application of ERMS, EFMS-2 and supply matters on regular basis.
  • Supervise the preparation of ration orders by the Military Contingents in accordance with the entitlements.
  • Supervise the receipt of rations delivered by the contractors at the contingent location and certify the correctness of quantity and quality.
  • Maintain records of demand and delivery of rations in the sector.
  • Monitor the demand, storage and trurn over of Composit Ration Packs (CRP) and bottled water.
  • Monitor the issue of fuel by the contractor and certify the quantities received by the clients on daily basis to chief Fuel Unit.
  • Maintenance of the stock within the warehouse by utilizing the proper shelving/storage devices based upon the activity of the item and the physical properties of the item; ensuring a logical placement of the items is maintained for ease of selection and maximization of available storage area; Establishment and maintenance of a location system for all items held in the warehouse,
  • Maintenance of all items having a shelf-life/time expiration factor to ensure that items issued are those items closest to the expiration date in order that stock is utilized.
  • Ensuring that the proper Receipt action is taken for items returned/issued to the warehouse by: physically receiving stocks from customers/other supply warehouses, verifying the count, condition and identification, preparing the necessary receipt vouchers to enable inventory action to be completed, and stored within the warehouse – segregating as required by condition of stores.
  • Ensuring that the proper Issue action is taken for items authorized to issues by: selection of the item(s), prepare if transit is required (palletizing, packing, etc) including shipping and security equipment (if required).For issues conducted locally, ensuring that all issue documents are signed and filed for audit purposes.
  • Monitor the working of Individual Contractors (ICs), maintain attendance sheets and submit to HR in timely manner.
  • Raise Shopping Carts and SES for the services of ICs.
  • Carry out physical verification of Inventories and maintain update records of receipt and issues.
  • Enforces all Safety, Health and Environmental (SHE) instructions and guidelines in work areas and prepares safety incident reports.
  • Provides input and data as required for, Ration, Fuel and Gen Supply Unit’s budgeting or planning preparation.
  • Maintaining a professional filing and record management system and ensure that paper and electronic records of continuing value are maintained.
  • Design and implement capacity development and knowledge sharing program with appropriate national colleagues
  • Any other task assigned by Chief Supply Section.

At least four years of relevant experience Ability to identify clients’ needs and appropriate solutions, ability to establish and maintain productive partnership with clients.

Ability to take initiative, solve problems, anticipate actions, and to use creative means to complete tasks.

Ability to meet strict deadlines and work overtime during peak periods.

Knowledge of UMOJA, Galileo and BO (UN Inventory Management Systems) is an advantage
