Org. Setting and Reporting This position is located in the United Nations Integrated Office in Haiti (BINUH), Port-au Prince. The Supply Assistant will report to the Chief Service Delivery of the Mission Support Division.

Responsibilities Within the limits of delegated authority, the Supply Assistant will carry out the following duties:

  • Monitor stock of supplies in the stores; Conduct regular stock taking of expendable items in the supply stores and prepare reports on discrepancies observed; Effect stock replenishment in a timely manner.
  • Ensure that items in the supply stores are arranged in an orderly manner; Plan well in advance on expected delivery of supplies in order to maintain adequate storage facilities for in-coming goods; Implement Quality Control/Assurance to ensure the contractual terms, costs and schedules.
  • Assist in raising requisitions for services and items required by the supply Stores.
  • Assist Receipt and Inspection Unit (R&I) in receiving and inspecting goods delivered by vendors and managed by Supply Section; Process internal R&I reports for goods in the Supply Stores and forward to R&I unit for processing records of the goods in Umoja, and issue to end users according to established procedures; Update stock cards for acquired products; Assist in weekly reconciliation of receipt and issues in order to confirm that nothing is being misappropriated.
  • Conduct periodic inventory verification of UN non-expendable property and attractive Property managed by Supply stores and update records in Umoja by processing issue vouchers to individual/end users of UN property for purpose of transparency and accountability; Assist with ensuring implementation of the internal control systems including accounting, report and maintenance of all electronic/hardcopy records to ensure proper audit trail.
  • Prepare write-off requests for property, which is lost, obsolete or damaged; Receive technical evaluation report on damaged property or property which has become obsolete and raise request for write-off in the Umoja system to facilitate submission to the Local Property Survey Board (LPSB).
  • Supervise the provision of Petroleum, Oil, and Lubricants (POL) and associated services from the Contractor including fuel consumption monitoring and stock reconciliation.
  • Implement procedures to ensure that bulk fuel requests are properly prepared, reviewed and approved so that fuel is delivered in a timely and coordinated manner, to ensure reliable flow of fuel supply for the Mission.
  • Implement Fuel related Standard Operating Procedures (SOPs), including those related to Fuel Fraud Prevention, Quality Control (QC)/Quality Assurance (QA), Fuel Consumption Monitoring and reporting.
  • Perform other duties as assigned by the supervisor.

Education High school or diploma in supply management.

Job - Specific Qualification Technical or vocational certificate in at least one of the following areas: management, and supply management is desirable.

Work Experience A minimum of eight (8) years of progressively responsible experience in supply services, inventory management, procurement, logistics, project management or related area is required.

Experience in supporting supply services in support of or in a field operation of the United Nations Common System or a comparable international organization is desirable.

Experience in at least one (1) or more of the following areas: (1) the operation of field fuel installations and fuel handling procedures; (2) maintenance/repair of fuel equipment; (3) quality assurance/quality control procedures related to POL operations in a field environment is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English is required. Knowledge of French is desirable.
