Under the supervision of the Head of the Logistics Officer/ Warehouse manager, the storekeeper- will oversee and manage the warehouse for the health facilities in Liberia. The project is funded by USAID.

How can you make a difference?

In this position, you will have to:

Product storage and order preparation

• Effectively receive/ dispatch and verify the commodities against the official approved documents (waybills, packing list/ or delivery notes) – ensuring accuracy in physical count of commodities including the quality in compliance with WFP established guidelines in storage. • Ensure storage capacity when receiving international orders. • Prepare storage space. • Ensure products are stored in appropriate conditions per WFP warehouse standards. • Ensure proper handling of items during unloading, checking, and storage to avoid damage.

Preparation of order

• Scrupulously check the products during preparation (FEFO/FIFO recommendations, respect of batch numbers) in accordance with the packing list. • Carry out the first verification of the prepared orders, in terms of conformity with the Delivery Authorizations (DA). • Ensure proper handling of products during preparation, packing and transfer of packages to avoid damage. • Report any discrepancies immediately to the direct supervisor, who will follow up.

Inventory and stock management

• Check the order of the different items in stock • Perform daily inspections and prepare reports on the quantity and quality of the commodities received/dispatched and handled, detect promptly, and analyze reasons for stock discrepancies/damages, investigate missing quantity, and prepare reports to enable informed decision-making. • Ensure the existence of a correctly filled-in stock card for each batch of product. • Cross-check stock on hand and stock cards unit during physical inventory. • Take inventory after each movement of a batch of products and carry out the quarterly periodic inventories. • Perform stock reconciliation with the system data and pharmacy team. • Cross-check stock on hand and system data during physical inventory. • Ensure compliance with WFP-established guidelines on physical inventory.

Documentation

• Update the management tools (batch sheet, daily stock report, parcel transfer register) for each stock movement in the warehouses. • Update the documents relating to each delivery (waybill, checklist, packing list, etc.). • Ensure proper storage/ archiving of documents. • Perform any other duties assigned by the supervisor.

Cleanliness of premises and maintenance of equipment

• Ensure the cleanliness of the warehouses.

• Make the necessary arrangements with the warehouse officer to prevent any proliferation of undesirable insects or animals.

• Maintain handling and order preparation equipment in good working order.

• Check the temperature in the warehouses on a daily basis (current/minimum/maximum temperature...morning and evening).

• Ensure that firefighting equipment is in place and in working order.

Supervision and Teamwork

• Supervises the Tally Clerks and assist in developing their work plan.

• Provide guidance and on-the-job training to warehouse staff and contribute to their development and high.

• Ensures the follow-up of the day laborers and participates in the monthly follow-up of their payments.

• Ensure enough staff are available in the warehouse under his / her responsibility to carry out all assigned tasks.

• Immediately report any deviation to the warehouse manager/ or Logistics Officer

• Ensure compliance with WFP SOP in relation to the activities in the warehouse.

Education: Completion of secondary school education. A post-secondary certificate in the related field is desirable.

Knowledge, Skills & Experience Required:

• Minimum 4 years of relevant work experience.

• Experience in managing warehouse.

• Experience in managing a warehouse with medical commodities is desirable.

• Experience in managing inventories and processing invoices.

• Experience in monitoring service providers' contracts and their execution is desirable.

• Good communication skills and ability to work in a team.

Language: Fluency (level C) in English language.
