Org. Setting and Reporting This post is located in the Division of Country Programmes (DCP) which is is responsible for coherence and impact of ITC's programmes at the country and regional levels. The five regional sections within ITC maintain close relations to partners in ITC's programme countries to ensure a demand-led approach and strengthened country engagement for all projects. The regional sections are responsible for country coordination, for gathering country intelligence, for needs assessments and design of demand led projects, for in-country resource mobilization and for managing multiyear, multi-disciplinary projects

Responsibilities Under the direct supervision of Chief, Country Communications and the general guidance of Director DCP, the incumbent will be responsible for the following duties: - Performs, under minimal supervision, the full range of office management and administrative support functions; typically provides direct assistance to senior officers, chiefs and directors. - Maintains liaison with OED/CE for scheduling social media posts, media outreach and website content and for matters related to photography and videography, when needed. - Ensure that public information materials including fact sheets, information brochures, briefing materials on countries are available and up to date. - Ensures smooth and efficient information flow within the unit; prepares and processes confidential information; assists in the development of office administrative systems and procedures. - Provides specialized assistance to officers in the production and delivery of information communications products and services. - Provides assistance in the coordination of major country-based events.; liaises with relevant vendors and counterparts; drafts and edits reports, production schedules, , and correspondence related to the planning and production of events and other communications projects - Attends meetings, prepares minutes, monitors follow-up activities. - Responds or drafts responses to a wide range of correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports. - Manages, updates and further develops internal databases; updates website; generates a variety of standard and non-standard statistical and other reports from various databases. - Assists with storing and classifying photography and videography databases (e.g. technology support, editing, desktop publishing, etc.). - Maintains calendar/schedules; monitors changes and communicate relevant information to appropriate staff inside and outside the immediate work unit. - Maintains files (both paper and electronic) and databases for work unit. - Performs other duties as assigned.

    Education High school diploma or equivalent.

    Work Experience Five years of experience in general office support or related area is required.

    Previous experience in a communications role is desirable.

    Previous experience in the UN common system is desirable.

    Languages For the post advertised, fluency in oral and written English and French is required. Knowledge of another official United Nations language is an advantage.

    Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

    Special Notice The conditions of service are governed by the United Nations Staff Rules and Regulations. This is a temporary appointment for an initial four (4) months (maternity leave replacement) and may be subject to extension.
