Org. Setting and Reporting Created in December 1999, the United Nations Office for Disaster Risk Reduction (UNDRR) is the designated focal point in the United Nations system for the coordination of efforts to reduce disasters and to ensure synergies among the disaster reduction activities of the United Nations and regional organizations and activities in both developed and less developed countries. Led by the United Nations Special Representative of the Secretary-General for Disaster Risk Reduction (SRSG), UNDRR has over 100 staff located in its headquarters in Geneva, Switzerland, and in regional offices. Specifically, UNDRR guides, monitors, analyses and reports on progress in the implementation of the Sendai Framework for Disaster Risk Reduction 2015-2030, supports regional and national implementation of the Framework and catalyses action and increases global awareness to reduce disaster risk working with U.N. Member States and a broad range of partners and stakeholders, including civil society, the private sector, parliamentarians and the science and technology community.

The position is temporarily available for seven months and located in the UNDRR Headquarters in Geneva. The incumbent reports to the Programme Officer under the overall guidance of the Chief, Intergovernmental Processes, Inter-agency Cooperation and Partnerships Branch.

Responsibilities The incumbent will be responsible for the following duties and responsibilities:

•Provide direct assistance to the Chief of Branch, and performs, under minimal supervision, full range of office management and administrative support functions. Assists in the development of office administrative systems and procedures. •Maintains liaison with the Programme Officers in the Branch and in other units regarding on-going programmes and other administrative matters; monitors processes and schedules related to the branch’s outputs, products, tasks, etc. •Provides assistance in the coordination of branch-wide activities (meetings, training, etc.), special projects and events. •Attends meetings, prepares minutes, and monitors follow-up activities. •Maintains calendar/schedules; monitors changes and communicate relevant information to appropriate staff inside and outside the immediate work unit. •Ensures smooth and efficient information flow within the branch; prepares and processes confidential information. •Researches, compiles and summarizes background materials for use in preparation of reports, briefs, speeches, etc. •Manages, updates and further develops internal databases; updates website; generates a variety of standard and non-standard statistical and other reports from various databases. •Assists in the preparation of presentation materials using appropriate technology/software. •Orients new staff to relevant administrative procedures and practices and provides general assistance to other office support staff, as required; may coordinate the work of office support staff in providing meetings servicing/administrative support to various sessions of commissions and other bodies. •Responds or drafts responses to a wide range of correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports. •Maintains files (both paper and electronic) and databases for work unit. •Carries out quality control function for outgoing documents; proofreads and edits texts for adherence for format, grammar, punctuation and style. •Performs a variety of administrative duties (e.g. leave recording, meeting organization, reservations, office supply and equipment orders, etc.), including preparing and/or processing administrative requests/documents (e.g., travel requests, expense claims, vouchers, visa applications, particularly in view of the planned Global Platform for Disaster Risk Reduction - May 2022etc.). •Responds to complex information requests and inquiries (e.g. answers requests requiring file search, etc.). •Acts as back up for other staff assistants in Geneva. Performs other duties as assigned by the supervisor.

Education High school diploma or equivalent is required.

Work Experience A minimum of five (5) years of progressively responsible experience in the fields of administrative services, office support or other related area is required. Experience working with the travel or consultants' modules of SAP (preferably Umoja, Inspira) is desirable. Experience providing support to conferences and large meetings is desirable. At least two years of experience in international organizations such as the United Nations is desirable.

Languages English and French are the working languages of the United Nations Secretariat. For this position, fluency in English and knowledge of French are required.

Assessment Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice This position is temporarily available with a contract duration seven (7) months, with a possibility of extension depending on the exigency of service and funds availability.

If the selected candidate is a staff member from the United Nations Secretariat, the selection will be administered as a temporary assignment.

This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules. All staff in the General Service and related categories shall be recruited in the country or within commuting distance of each office, irrespective of their nationality and of the length of time they may have been in the country. A staff member subject to local recruitment shall not be eligible for the allowances or benefits exclusively applicable to international recruitment.

Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Having passed the Administrative Support Assessment Test in English at the United Nations Headquarters, Economic Commission for Africa, Economic and Social Commission for Western Asia, United Nations Office at Geneva, United Nations Office at Vienna, International Criminal Tribunal for Rwanda or International Criminal Tribunal for the former Yugoslavia may be accepted in lieu of the GGST.

Staff members are subject to the authority of the Secretary-General and to assignment by him or her. In this context, all staff are expected to move periodically to new functions in their careers in accordance with established rules and procedures.
